Get started fast with prebuilt AI workflows

Get started quickly by choosing prebuilt AI workflows from the Smart workflow gallery. These templates are tailored to common workflows like request tracking, creative requests, ticketing, and work intake, so your team can go from intake to resolution without the manual work.

  • Request tracking: Service teams and PMOs can manage high volumes with forms, AI task routing, and SLA timers to ensure timely responses.
  • Creative requests: Design and marketing teams streamline reviews with smart intake, priority setting, and AI-powered feedback summaries.
  • Ticketing: IT and support teams triage, assign, and track tickets efficiently, with real-time SLA alerts and updates for requesters.
  • Work intake: Simplify new requests with forms, triage rules, and automated updates to reduce manual work and speed up assignments.

I was super stoked to find I could link Asana AI to Google docs. That is such a game changer. Also cannot wait to play with the smart workflows. I’m currently taking the Asana AI Studio certification, and I am loving all things Asana AI. In fact, I love AI period. However, it is only as good as the person creating the prompts and rules, hence the certificate. :slight_smile:

Smart workflow gallery

  • How do I find and use the Smart Workflow Gallery? Navigate to “Templates” when creating a new project. You’ll see a curated list of prebuilt AI workflows like request tracking, creative intake, and ticketing. Choose one and follow the guided setup.
  • Can I customize workflows from the Smart Workflow Gallery? Yes, each smart workflow is fully customizable. You can update intake forms, task types, statuses, and add automation rules to fit your team’s process.
  • What kinds of teams benefit most from using the Smart Workflow Gallery? It’s great for any team that handles structured processes, especially marketing, IT, PMO, and ops teams managing tickets, creative requests, or approvals.
  • Are new templates added to the gallery regularly? Yes, more templates are rolling out over the coming months for key team use cases across organizations.

Prebuilt AI rules

  • What are prebuilt AI rules? These are plug-and-play automation rules designed for common use cases like task renaming, triaging, and summarization. You can apply them in just a few clicks.
  • Can I modify prebuilt AI rules? Absolutely. After adding a rule from the library, open it in AI Studio to adjust the instructions or inputs to fit your workflow.
  • How do I access the AI rule library? In the Customize menu of your project, go to “Rules,” then choose “Add Rule” and filter by “AI rules” to browse the library.
  • What’s the difference between a regular rule and a prebuilt AI rule? Prebuilt AI rules use natural language AI to interpret or act on content (e.g., summarizing or renaming). Regular rules are condition-action automations without AI assistance.

Timer custom fields & SLA tracking

  • What’s a Timer Custom Field and how do I add it? It’s a field that counts down to SLA deadlines (e.g., respond in 24 hours). You can add one via the Customize menu and configure it to track specific phases like “time to response.”
  • What does SLA stand for? Service Level Agreement.
  • What happens when an SLA is breached? Tasks are automatically flagged when timers expire, helping your team act quickly. You can also create rules to notify teammates or update statuses on breach.
  • What does SLA reporting include? SLA reporting surfaces trends across your request workflows,like resolution times, bottlenecks, and volume by category,so you can improve performance and staffing.
  • Can requesters outside of Asana track SLAs? No, SLA visibility is internal, but updates can be automatically sent to requesters via comment rules or integrated communication channels.

AI that can process and analyze documents

  • How does Asana AI analyze documents? When a task includes attachments from Google Drive, SharePoint, or OneDrive, Asana AI can read the contents and use that information to inform summaries, decisions, or next steps.
  • What types of documents work best? AI performs best with structured or semi-structured documents like briefs, specs, or proposals, especially in PDF, Google Docs, or Word formats.
  • Can the AI read all attachments automatically? AI will only analyze supported file types when explicitly referenced in an AI rule or guidance block. It won’t scan attachments passively.
  • How do I give AI access to files? Add documents as attachments to tasks or reference blocks in AI Studio. Make sure the linked drive permissions allow access.

AI that can search the web

  • How does web search work in Asana AI? When configured in AI Studio, Asana AI can search the web or read content from a public URL as part of an automation. This provides real-time insights for tasks like research or competitive analysis.
  • What are some use cases for web-powered AI workflows? Teams use this to research prospects, enrich campaign briefs with live data, or monitor industry trends without manual effort.
  • Do I need to enable anything before using it? Yes, web search must be enabled by an admin in the Admin Console. Once enabled, AI Studio workflows can include web reading as a step.
  • Does Asana AI cite its sources? Yes, when web content is referenced, the retrieved info includes a link to the original URL for transparency.

AI that references other work in Asana

  • What does “AI referencing other work in Asana” mean? It means your automations can consider related work, like goals, portfolios, or team workloads, before acting. This helps AI make smarter decisions about who to assign tasks to or how to prioritize.
  • How do I set this up? In AI Studio, you can @mention goals, projects, or teams in the guidance block. For workloads, you can paste the URL, and AI will consider availability and capacity.
  • Does Asana AI reference other work automatically, or does it need to be directed to do so? Asana AI needs to be directed by explicitly @mentioning tasks, projects, etc.
  • What’s a good use case for this feature? Strategic planning, resource allocation, or aligning tasks to company objectives. For example, AI can route tasks to the team with the most bandwidth while linking them to a relevant OKR.

Rule activity log

  • What is the Rule Activity Log? It’s a centralized log that shows every rule that’s run in a project, including when it triggered, what it did, and whether it succeeded or failed.
  • How do I view the rule log? Go to the Customize menu, click into a rule, and then select “View rule history” at the top of the rule builder.
  • Can I use this to troubleshoot errors? Yes. The log includes detailed info about what triggered the rule and what actions were taken, so you can quickly identify and fix issues.
  • Is this available for AI rules too? Yes, the activity log tracks all rules,including AI-powered ones,so you get full visibility into automation across your workspace.

Miscellaneous

  • How do I enable Asana AI? Follow the steps in this Help Center article.
  • Are there any limitations that I should consider regarding HIPAA and AI Studio? Does this limit functionality or access at all? Our HIPAA offering can enable both AI providers, so you can access all of our AI capabilities except for the web search functionality. AI Studio is HIPAA compliant and ensures data protection through encryption, strict data retention policies, and contractual obligations with AI partners to not use customer data for model training. For more details, refer to the Asana Trust Center and the AI Fact Sheet.
  • Is my Asana data being used to train AI models? Neither Asana nor Asana’s AI partners use customer data to train AI models of any kind. Moreover, Asana’s AI partners configure their services to promptly delete input and output data following completion of the relevant query and/or response. You learn more about data and safeguards here.
  • What efforts is Asana making to mitigate the effects of AI on the environment? Asana is committed to sustainability and fostering a positive impact for humanity and the planet, including the responsible usage of AI. We take a multi-faceted approach for minimizing our environmental impact of AI:
  1. We’ve consolidated our AI computing on AWS and purchase carbon offsets for this energy usage.
  2. Our LLM Foundations team continuously monitors and implements more efficient AI approaches.
  3. We partner with environmentally conscious AI companies like Anthropic.

This approach ensures we’re actively embedding AI into the platform responsibly to meet our company’s sustainability goals.
