Now rolling out to Asana users — Rules

Hi there!

I’m excited to announce that we’re rolling out a new feature called Rules, which can be set up on projects to automate manual steps in your process.

Over the next few weeks, we’ll be making this feature available to all paid Asana users—so don’t worry if you don’t have access to the Rules feature today. For more information on how this feature works, check out this article from our Guide.

Premium customers have access to a handful of Rules pre-set options, while Business customers can build their own Rules from a selection of 60+ trigger and action combinations (see more details below).

As a reminder, we will be rolling out this new feature gradually, so if this feature is not available to you just yet—don’t worry, it will be very soon! And of course, if you have any comments or questions, feel free to post them in the comments below.

Premium Users can use any of the predefined trigger and action pairs listed below:
• Task moved to a certain column / section → mark complete
• Marked complete → move task to a certain column / section
• {CF} changed → mark complete
• Marked complete → Set {CF}
• {CF} changed → move task to a certain column / section
• Task moved to a certain column / section → set {CF}

Business Users can mix and match the following triggers and actions:

Triggers
• Task added to this project
• Task moves to a certain column
• Due date changed
• Task marked as complete
• Task assignee set
• Comment added
• Attachment added
• Dependent task is no longer waiting
• {CF} changed

Actions
• Move to a specific column
• Add to another project
• Set due date
• Mark complete
• Assign task
• Add collaborators
• Set {CF}

WOW! I’m so excited about this!

I don’t seem to have access, yet. But one question that will be key to my workflow: can these rules exist in My Tasks, or just within a project?

If they don’t currently work in My Tasks, any idea when that will be added?

Hi @Zachary_Goldman,

They apply to projects only; rules are not available in My Tasks.

Asana doesn’t comment on unreleased stuff so there’s no answer available on this question, I’m afraid.

Hi Marie!

One of the issues that we are running into with the new “sections” is that we have a project status custom field (Blocked, Scheduled, In Progress, Testing Required), which often line-up with sections within a project.

Even with the rules in place, setting up a rule for the status to update the section and the section to update the status, it’s quite painful and a lot of work.

All of this is required just for 1 project:

Is there a way to duplicate all rules, or have rules run across all projects?

Surely there has to be a better way to deal with SCRUM/Kanban with the new sections/board view that doesn’t overlap the “status” custom field?

Any advice here would be greatly appreciated!

Asana’s rules do not currently have a way to duplicate them across projects per se. Two ways you can accomplish this: if you use the Duplicate Project function, the rules will be duplicated to the new project; and if you make a project with rules into a template, then all new projects which are created from that template will have the template’s rules. There’s no way to do the replication from one existing project to another, though.

FYI I did recently add that exact capability to Flowsana’s rules feature - for the very reason you illustrate!

No, they’re project-specific.

I’ve been hoping for something like this! It doesn’t look like we have an account that was given an early release of this. Any chance we could request to get this functionality added to our account?

@Taylee_Pardi, we’re aren’t able to provide early access for this launch, but you will soon all have access to it!

I can’t wait for our account to have access!!! We’ve been waiting for something like this since the start. I’m going to keep refreshing my page every so often until I see them.

SO excited!

Are there any plans regarding subtasks? For example, When [subtask] completed move to [column] ? Many of our workflows are dependent on the completion of subtasks and this feature would be SUPER helpful, and something I so wanted about 1.5 years ago!
