Introducing manual rule triggers!

I’m happy to announce a new feature: Manual Rule Triggers!

Rolling out now is a new rule trigger (“Manually triggered”) available in the “When …” section in the rules builder:

All “Manually triggered” rules can be easily and manually activated either 1) via the task’s right-click menu in the project list view, or 2) via the task detail pane’s “…” overflow menu. Both are shown below, and both add a “Manual trigger rule/automation” menu item with a submenu consisting of all the project’s “Manually triggered” rules available for running. You specify the submenu item labels that appear here by entering a 30-character title in the rule’s definition (not shown in screenshots).

Until now, automations have been designed to run automatically without requiring proactive work from users. We’re now introducing the ability to create rules that you can run manually. You can now set up rules that are triggered either a) Manually, b) Automatically (as before), or c) both.

Launch Status: Gradual Rollout, starting on the 16th of October

Pricing Tier:
Available on Asana Starter, Advanced, Enterprise, and Enterprise+ tiers, as well as legacy tiers Premium, Business, and Legacy Enterprise.

FAQs

  • Can I manually run auto-triggered rules?: Yes, You can now set up rules that are triggered either a) Manually, b) Automatically (as before), or c) both.

  • Will this take the place of my “Actions” single-select custom field “menu” and corresponding rules auto-triggered by their selection?: It can, but it’s up to personal/team preference. One benefit is that you neither have to create a dedicated custom field nor keep it in sync for each rule addition or removal. Another is that these rule triggers are the only way to get your action into the right-click task context menu and the task detail pane task actions menu, where other task actions are found, so it’s perhaps a bit more standard.

  • Will the rule’s “If …” conditions be run when manually triggered?: Yes, if you specify “If …” condition(s) they will be evaluated upon manual triggering. This gives you some flexibility to set up conditional manually-triggered rules.

  • Can I set criteria for when the manual trigger option appears?: Not currently. The trigger will always show in the relevant menus if the rule exists in that project.

  • How many manual rules can I add per project?: The limit is 50 rules per project, which is shared with all rule types.

  • Will manual rules also run on subtasks?: No, manual rules do not currently run on subtasks. Update 2024 12 05 from @Thaïssa_iDO: Now they do!

This is the first iteration of Manual Rule Triggers, so perhaps additional features might be added later. Feel free to add new individual requests in Product Feedback.

Wow @lpb that really is a game changer. It doesn’t look like it’s rolled out yet in the couple of client accounts I checked (one on Business, one on Advanced). Is there a rollout schedule? Is it available on all plan levels?

I can see using this to convert tasks to projects at a particular point in time where the triggering event is nuanced (e.g. personal preference or a combination of different factors)

@lpb I can see the new Manual Rule Trigger is available in the rule builder. So I decided to give it a try.
Was able to create one without much issue, see below screenshot.

However, if I try to right-click a task, or open the task-details pane, the option to manually trigger a rule is not present. Not sure if this is to do with the on-going issue with some rules being broken as noted here: https://forum.asana.com/t/improved-rule-building-experience/936337/7?u=ludwig_v

Is there a way to run a manual rule against an entire project, or does it have to be done per individual task?

Are you on a legacy plan? It’s possible that it’s only for current (new) plan types (or a bug). I’ve reported this previously and waiting for clarification (@Forum-team).

Thanks, @Steven_Smith. I voted (and remember you can too with the purple Vote button) and hope you don’t mind I broadened the title to include mention of applying the rule to multi-selected tasks.

Correct, we’re on a Legacy Business Plan. Really hoping it’s included since it was teased to us like this :yum:

Its a great idea, I could see it helping with various list maintenance type tasks. (When I first read this post that is what I thought it would do.)

I am facing the same issue. I have setup the rule but I can’t see “Run Rule” option in the task menu!

This feature is available Asana** Starter, Advanced, Enterprise, and Enterprise+ tiers, as well as legacy tiers Premium, Business, and Legacy Enterprise.

So Legacy Business Plan should have it.

@Ludwig_V I would recommend you to file it with our customer service for a better understanding.

Same issue here, I’ve tested it on the app and in the browser. I can create the rule, but cannot find where to execute it.

Hi Julio, did you actually look at my screenshots? I fully understand how the rule is supposed to be used and/or initiated as referenced in Ipb’s awesome guide, I’m pointing out how it is not working and users are lacking this functionality.

Not sure how I alone contacting custom service would resolve an issue that exists for many users.

I posted this to ask Ipb about it, to raise it to the dev’s attention and create a way for others in the community to get answers and the support they need.

The issue is still on-going and as it’s a brand new feature, I’m fully understanding that roll-outs can take time to tweak, that the recent updates to Trigger logic probably created a backload of work and that Asana even does A/B testing with roll-outs.

Patiently waiting for a full answer :slight_smile:

I reviewed your screenshots and recommended contacting our support team as a quicker course of action, especially since there could be account-specific issues that we can’t check from here. However, we have now received several reports that seem to be related to Legacy packs.

Interesting! Could you provide a couple use cases for this?

It would be great to have the option to add a manual trigger to the multi-select action bar, allowing rules to be manually run to multiple tasks at once.
