Introducing Project Notes!

Thanks @Vanessa_N! Just created my feedback post :Evolution of Notes: General Ideas & Feedback

I’ve been using Notes for a couple of weeks now and here is my feedback:

  • Searching within Notes: I love that a single Notes tab can contain all meeting notes and track through them, but would love to have some sort of table of contents or other searchable mechanism. Similarly, in Messages, we were able to track each message that mentioned a task, something similar would be helpful under Notes so we can track the conversations related to a task.

  • Continually being able to use a template (meeting notes for example), after using it once, you have to copy/paste all of the headers each week. It would be great to be able to just have it automate those headers in each weekly meeting without needing to create a new tab (and losing one of the biggest benefits to running notes tab)

  • BIGGEST ONE for me: When you create a new task within a Note, it just adds it to an unassigned section within the project! It would be great if a popup of some kind happened when you create a task to assign it to a person and section so you don’t still need an additional step of organizing your project afterwards. ALSO! One thing I actually liked about creating followup tasks from Messages was that I could add my own tasks to my personal task list, they didn’t default to the project it was attached to. Great for small followup tasks that don’t need to be tracked within the project per se but came out of a meeting related to it

@Shana_Wolfe you and I are on the same wavelength! I have some of this same feedback and created some ideas for upvotes:

The page width seems limited, e.g. for larger tables you have to scroll scroll like in a ‘normal’ task. This seems to me to be a missed opportunity if you want to offer the feature as a wiki alternative.

Thank you Eileen and Asana!

Thank you Asana, this will save me scrambling around for somewhere to quickly document project info.

Are we able to restrict the viewing of this tab to just admins in a project say if we don’t want our guest users to see these notes?

It would be nice to be able to add these to “Key Resources” for a team. Currently this doesn’t seem possible.

Hi @Stefan_Wrobel , welcome to the forum

That’s a great suggestion! Do you mind creating a new thread in the Product Feedback category where Asana’s product team will be able to review it, while you and others will be able to vote on it?

Hi has the notes project view been launched yet?

Hi @Chandtisse_McClaurin , as far as I am aware, yes it is fully launched. Are you not seeing it from the + button as per the below gif?

Thanks for the mention here. I would have notes to infinity and beyond. When will Asana make it more like a notebook similar to OneNote so we can categorize and easily find notes. It’s so awkward to make an agenda and then have to make another agenda by clicking another note tab. How is any of it findable, searchable. I’m ready to jump off OneNote because it is a nightmare for my onedrive notebooks ever since they switched to Sharepoint. Are there any plans to give NOTES structure as note pages, notebooks, etc. And when will that be launched? Appreciate any info you can provide. Thank you!

Welcome, @Cindy_Dawn,

I’m sorry but as only an Asana consultant (I don’t work for Asana), I really can’t address any of your questions.

I will say, however, that my clients and I have great success with a meetings/agenda/minutes workflow that uses a project, tasks, and subtasks to create an orderly and searchable solution.

Thanks,

Larry

100% with you on this - I want organization inside the Notes pages, not just a ton of view tabs at the project level, or having to scroll endlessly in a single notes page to find the day, detail, or info within.

Good first start - but needs work.

I would love to hear more about how you do this!

I reserve sharing and implementing complete workflows for my clients. In this case, I’ve culled all the best practices I’ve ever seen regarding recurring team/group/board meetings into a self-documenting project template that contains a task template that I can share with clients. I could introduce and share it in a JumpStart:

Thanks,

Larry

Hi Asana Team,

I hope this message finds you well.

I wanted to share some feedback regarding the Notes feature. It’s fantastic, but we have a couple of suggestions that could enhance its usability within out team.

Template Duplication:
It would be great to have an option to duplicate templates within the same tab. For instance, with the meeting template, being able to add multiple sets of minutes in one tab and use section breaks for different dates would streamline our workflow.

  • Outline Index Improvement:
It would be helpful if the outline index could display only the main headers (e.g., meeting dates), while hiding the additional details. This would keep the index concise and manageable.

I hope you consider these suggestions, as they would significantly improve our experience with the Notes feature.

Thank you.

Hi! How do you create a rule from Notes so that tasks flow into a specific section of the project?

Hi @Alie_Cascio_Johnston , welcome to the forum

You could create a simple rule that when task is added to the project, move it into a particular section. This will actually trigger when you create tasks within the Notes section, which is great!

However, this may not be ideal if you also want to be able to create tasks directly in particular sections in other views such as List or Board view, because it the rule will always move those tasks to that default section.

I’ve gone ahead and created a new thread in the Product Feedback category, requesting for an additional rule condition for when tasks are added, similar to if ‘Task is added to this project by form’ we could also have if ‘Task is added in the Notes view’. Feel free to add your voice and vote to it, here:

Hi guys - is there a way to print or PDF notes for use outside Asana? Seems like a logical option - but currently seems to generate 1000s of empty pages.
