I am trying to create a rule to notify the form submitter (all internal to my organization so our emails are automatically associated with it) that someone has been assigned to help them and please use their appointment link to set up a quick meeting. The rule I have is:
When task is assigned → Check if assignee is me (using me as an example here) → Do this: “Add comment and send email to form submitter”
That is the option under Add to Task, Add Comment–there’s this option to send email to form submitter. When I just to Add Comment, I can see the comment show up. But nothing happens when I select “Send email to form submitter”–is it broken or what is it supposed to be doing? It seems pretty obvious that it should have sent the email to whomever submitted the form but nothing happens.
Would love to know if anyone else has experienced this and how did you get it to work? Thanks!
It only works if the form has a required email field and the submitter’s email matches an active Asana account in your org. If that’s all set and it’s still not sending, it might be a bug — You can rather contact Asana Support just to be sure.
That was also my understanding–thank you for confirming. The form is only for those internal to my organization and it is auto filled. If I just do Add a comment (to the task), it shows up but not when I choose the email option so I will contact support since it sounds like it’s a bug. Thanks!
For such situation, I would insist you to please contact Asana support. This might be only a solution if it isn’t getting resolved with the steps Phil and I suggested. @Xueying_Shirley_Han
@everyone I contacted the Asana Support Team and they pinpointed the problem right away–if you go into the form settings and scroll to the bottom, there are actually 2 selections to turn on: “Receive email replies” and “Send email replies.” Both need to be selected for the comment and send email to form submitter to run. I turned my on and ran without any problems =)
I have to say, IMO it doesn’t make logical sense that both of those need to be enabled for emails to go to the form submitter, but glad you got it clarified @Xueying_Shirley_Han and now we know what’s required, logical or not!
