For proofing, i saw the ability to add comments on the uploaded document, but what about for more detailed proofing, copy edits and comparing versions? For more detailed proofing and version tracking, you can:
⢠Use proofing comments to pinpoint feedback directly on the asset (great for quick notes or minor copy edits).
⢠Add a subtask for each review round if feedback requires multiple edits or sign-offsâthis helps keep versions organized and threaded.
⢠Upload revised versions of the file in the same task. Each upload automatically keeps the previous version visible in the taskâs activity, so you can scroll back and compare updates side-by-side.
⢠For heavy copyedits or tracked changes, we recommend attaching a marked-up version from Google Docs or Word, then summarizing key changes in a comment or subtask to close the loop within Asana.

Whatâs the best way to include background and explanations in a concise way for approvals without linking to an outside proposal? You can keep approvals concise by summarizing key context directly in the task description or a pinned comment. Use bullets or short sections (such as âGoal,â âAudience,â âKey Decisionsâ for example) instead of pasting full proposals. If you need to reference more detail, you can attach or embed short snippets (like screenshots or a one-page summary) so approvers donât need to click out of Asana. This keeps everything self-contained and review-ready.

I find that approval checks can make a project feel stalled out (if a piece of collateral gets into v3, v4, v5, and the task status gets stuck on ârequest changesâ), how do you budget time for that when setting the overall schedule; do you assign the approval task a long window? When approval cycles stall a project, extending the task window isnât the most effective solution. A better strategy is to implement a streamlined approval process with clear responsibilities, set realistic timelines, and proactively manage feedback. How can I handle budgeting and time tracking; when reconciling a project, how can I connect the time tracked to the budget the client received? To handle project budgets and time tracking, use custom fields for âestimated timeâ and âactual timeâ on tasks, and then use the projectâs dashboard or portfolio to create charts that compare estimated time to actual time spent. This allows for reconciliation by showing the total budgeted time versus the total tracked time for the project, with any differences easily visible for review. Can I have Asana AI read an email to autofill an Asana form through the Outlook integration? At this time, we cannot natively have AI read an email to autofill an Asana form, but you can create an Asana rule that triggers a response based on information extracted from an email, or use the Asana Outlook integration to manually create tasks from emails. How can I utilize dashboard reporting (ideally at portfolio level) to keep track of KPIs or for revealing bottlenecks? You can build a chart in the Portfolio dashboard to track blockers or tasks that are blocked by other tasks. You can also use Status updates to bubble those problems up to the Portfolio level. Can a PDF with proofing notes be exported, notes included? No, you cannot export a PDF with Asanaâs proofing notes baked into the file itself. When you use proofing to add comments and markup, this feedback is saved within Asana and is not embedded into the PDF file itself. For videos, are there limits to the size for uploading? There is a limit of 100MB per file uploaded as an attachment to a task/comment.

For proofing, can colleagues who donât have an Asana account see and respond to messages? Colleagues must have an Asana account in order to directly view and respond to proofing messages and annotations in Asana.

Is there a way to use Asana AI to automatically add the name of the review/request task or project to the review subtask or approval? Yes, in this case you can add a variable to the comment youâre adding to the task via rule. You can add a variable from within the rule builder when you build out the action, you can find additional information here: https://help.asana.com/s/article/variables-in-rules
