Turn emails into actionable, trackable tasks in Asana without leaving your Gmail inbox

To efficiently turn e-mails into actionable and trackable tasks in Asana without leaving your Gmail inbox, you can utilize the Asana for Gmail integration, also known as the Asana add-on. This integration allows you to create tasks directly from your Gmail, saving time that would otherwise be spent on copying and pasting. This has immensely benefited me and our whole organization, particularly in streamlining the workflow for all departments utilizing the ticketing system. Allow me to elaborate on why this integration has been so helpful.

Before we start, do not forget:

  1. First, log in to your Asana Account and install the Asana for Gmail Add-on from the Google Workspace Marketplace (both on desktop and mobile).

  2. Next step - Authorize the Add-on:

  • once installed, open any e-mail in your Gmail inbox;
  • you should see the Asana icon on the right-hand side of the panel;
  • click on the Asana icon and sign in to your Asana account;
  • authorize the integration by following the prompts.

We are done with the setup, and now it’s time for magic.

Desktop:

Creating a task from an e-mail:

  • open the e-mail you want to turn into a task;
  • click on the Asana icon on the right-hand side panel;
  • fill in the task details, such as the task name, assignee, due date, and project (the due date will automatically reflect the date of task creation, the title by default will pull the e-mail subject, and the default assignee will be yourself);
  • add any additional details to the description or attachments from the e-mail.
  • click “Create Task” to add it to your Asana workspace.

Managing Tasks in Asana created by the add-on:

-once the task is created, it will be available in your Asana project, aka “my tasks,” or any other project where you have added it upon creation.

-if you have ticked the relevant check box, any new email in the email thread used for task creation will be synchronized with an Asana task as comments.

Asana mobile app:

The mobile version of the Asana add-n works similarly on mobile as it does on the desktop, allowing you to create tasks from your Gmail app on the go.

By using the Asana for Gmail add-on, you can streamline your workflow and ensure that important tasks from your e-mails are tracked and managed efficiently in Asana.

Additional tip - E-mail forwarding:

If you prefer, you can also forward e-mails to Asana to create tasks. Each Asana project has a unique e-mail address to which you can forward e-mails to create tasks out of it.

I wish you could add gmail emails as comments to existing Asana tasks, is that on scope?

@Ana_Cairasco How I understand Asana’s documentation of the Gmail add-on it even allows you to sync conversations with tasks.

Hello @Sher ! That is possible only if you copy-paste the body of the email to an already existing task (through the add-on).

My ASANA account is not based on my Gmail address. Since every email is a unique account I’m not able to create the task from gmail. Because I do not want to sign in in separate accunt only to manage tasks from Gmail.
Do you have any solution for this?
