I need some help with an Asana automation and reporting dashboard.
I want to run a report on the percentage of tasks completed by assignees either before or on the original due date versus after the original due date. I’ve set up three new custom fields: one for the “original due date” (acknowledging that the real due date might change as things get pushed during the project), a “Completed On” field, and a “Time Variance” calculation between the two.
Now, I can already see in my project which tasks have been completed after the due date as they are marked with a negative time variance. However, I would like to create a custom field that automatically updates based on the time variance. Specifically, if the time variance is negative (-), I want the field to update to show “Overdue,” and if it’s 0 or positive (+), it should change to “On Time.”
I thought I could use this to generate a bar chart report that counts tasks per person, per week, showing how many tasks were completed after the original due date. However, my first issue is that I cannot figure out how to create an automation based on. Time Variance > is less than > 0 to trigger the Completion Status to set to Overdue.
Does anyone have ideas on how to achieve this? If this approach isn’t possible, how can I create a report based on the time variance field that counts how many tasks are in the negative per person?

I understand your scenario, but Asana automation doesn’t provide such automation that could cater values produced by a formula column. This can be done with external integration tools like Zapier or make.com. This might not be the best solution, but potentially a good alternative if you want to go that route.

What are the options on Time Variance if you try to make a rule on it? I tried to hack something together on my practice project, but wasn’t even able to see the Time Variance field as an option to make a rule on. Is that the trick? No rules on formula columns?

@Zaki_Imtiaz that’s incorrect. You can see in my example screenshot that I have already a column with time variance. I just want to run now an automation on it to apply a field that’s says overdue when time variance = minus.
I can’t see any rules that I could apply to it. I even tried to create two due dates, one that is orginally set and then the real due date that might change. I would like to simply say if Due Date 1 is after Due Date 2 set Field X to “overdue” that would be the easiest. But Due Date automation only allows me to add a date. ( eg.: Due Date is before … 20/10/24)
There must be a solution.
Apologies for the misunderstanding. The point I was trying to make was that creating such a conditional scenario is not available in asana. Such a scenario where you can place as conditional on the Value of formula column are easily formed on external tools like Zapier or make.
@Outsourcist.com - Just so you know… “Greater than/Less than” conditions ARE available for number fields, but not yet formula fields. I hope and suspect they will be made available for formula fields in the future.
