Customize information in Outlook email sent via project rule

Hi everyone!!

I am trying to create an automation for project managers (listed in a custom field) to receive an email once a task is complete. These project managers may be external to our organization and we do not want them to have access to all Asana details but rather want to cut down that manual touch point for our internal leads (Assignees).

I would like help with the following:

  1. Is there a way to NOT include the Asana task link so that these external individuals do not have access to our Asana project?
  2. Is there a way to change the sent from email address for the rule? Currently, when setting up the rule it auto populates to my email. As a short-term support for this project and team, I should not be listed there to avoid confusion from these external partners.

  1. Regarding the First Point, you can’t avoid Asana task link in the email as it is default feature, but even though they click they will not able to access untill unless they are part of project, if you dont want the link to be included then you can use Zapier or Make
  2. To avoid your email address from sent mail, please integrate some common id in that project like support or sales@ and then when the the rule triggers they can see common email address instead of yours
