Use rules to send emails from Outlook

Very cool to see today that you can now create rules to send emails from Gmail on different triggers… Unfortunately my workplace uses MS Suite, not Google Suite.

Any chance the same functionality is on the way for using rules to trigger email send through Outlook?

This is indeed not available yet. Asana does not communicate about the roadmap, you’ll have to wait and see…

I would love this feature too! I was talking with a colleague about automating follow up on projects so that she doesn’t have to email people to remind them when tasks are overdue. The email is a more obvious notification for some people so it would help take some of the burden off her.

I would love this feature! We are setting up a project submission process and would love to be able to auto-email submitters to update them on the status (approved, invalid project, etc.) since all submitters aren’t Asana users

Can’t you all just create a Gmail address to use? That’s what I did.

I hate Google and am trying to de-google my life but something like this is fine it’s just them as smtp relay.

Hi everyone,

I’m excited to share that we have updated our Outlook + Asana integration to include the “Send Email” action in our automation toolkit! :tada:

With this update, you can now set up rules to automatically send emails from your Outlook account with customizable subject lines, bodies, and attachments.

Use variables to auto-populate email recipients (e.g., task assignee), subject lines, and email bodies (e.g., task description). Choose from various triggers, such as when a task is no longer blocked or a due date is approaching, to let the rules send emails with your custom message automatically!

Configure “Send Email” app action with variables:

variables

Asana link in the email footer:

Sent emails will include an Asana link in the email footer, making it easier to quickly access tasks directly from the inbox.

footer

Sent email becomes a task attachment:

Sent emails are saved as attachments within their respective tasks, providing easy reference and convenient access directly from Asana.
