Hi Asana & AI enthusiasts ![]()
The key idea
You give the instruction once, and the AI Teammate handles the cadence on its own. It stores the recurring instruction and delivers on schedule. You do not orchestrate anything around it.
In practice, three things people assume are required, and none of them are:
-
The task does not need a recurring due date. The recurrence lives in the instruction text, not in the task settings.
-
The task does not need to be pushed manually. You never re-trigger it. The AI Teammate runs on the pattern you described.
-
The task does not even need to be assigned to the AI Teammate. As long as it can read the instruction, it will act on it.
You write something like “every X days” or “every first Monday of the month” or any pattern you want, and it just delivers.
How to set it up
Step 1: Give the AI Teammate access
Make sure your AI Teammate can see the project or task where the instruction lives. That is the only prerequisite.
Step 2: Write the recurring instruction
In a task description or a comment, state the action and the cadence in plain language. Be explicit about the rhythm and about what to do each time.
Example:
“Every 4 hours, check this project for tasks with no assignee and post a comment listing them.”
That is the whole configuration. No recurring due date, no manual push, no assignment required.
The AI Teammate reads the pattern, stores it, and runs it on schedule.
Use cases
This shines when you want information to come to you on a rhythm, not when you remember to go look for it.
-
Spaced repetition learning. Have the Teammate resurface a process or a set of guidelines bit by bit, a little each day. Internally I have one plugged to a complex process I want to master, and it feeds it to me touch by touch instead of all at once.
-
Daily or weekly digests. A recurring summary of what changed in a project, what is overdue, or what is waiting on someone.
-
Online veille. Ask it to search the web on a topic and post the new finds every Monday, so your watch keeps running without you.
-
Routine nudges. A recurring reminder of priorities, open decisions, or stale tasks, posted right where the work lives.
-
Periodic checks. Every few hours, flag tasks with no assignee, no due date, or a blocked status.
