Episode 1 | Meeting Prep: Huge Time-Saver for Managers
The problem (true story)
As a team lead, I run several recurring 1:1 meetings every week. Before each one, I need to review what we discussed last time, identify open topics, follow up on action items, and surface recurring themes.
That takes real time. And when the week gets busy, meeting prep is the first thing that slips. The result: meetings without direction, repeated conversations, and dropped follow-ups.
What the AI Teammate delivers
The concept is straightforward. Every Monday morning, the AI Teammate scans upcoming meetings for the week, reviews previous meeting notes for each colleague, and writes a structured prep directly in the task description. It extracts only the most recent and actionable topics, not a dump of everything ever discussed.
For each meeting, the prep includes:
- Key topics to discuss, with context pulled from previous meetings
- Follow-up questions based on what was flagged or left open
- A running thread tracking recurring themes across weeks
- Suggested follow-ups and decisions needed
You walk into every meeting with a clear, focused agenda that builds on real history. No more “wait, what did we say last time?”
How to set it up (3 steps)
Step 1: Create a dedicated meeting project
Create an Asana project that serves as the single home for all your meeting tasks, past and future. This is critical because the AI Teammate needs a clean, consolidated context to work from.
Use multi-homing to bring all your recurring meeting tasks into this project. If you already track meetings in other projects, add them here as well. One project where the AI Teammate can access the full meeting history per colleague.
Pro tip: Organize your project with one section per colleague. This keeps the structure clear and makes each person’s meeting history easy to navigate.
Step 2: Invite the AI Teammate to the project
Add your AI Teammate as a project member (edit rights). This gives it access to all tasks, descriptions, comments, and subtasks within the project. Without this step, the AI Teammate simply cannot see the meeting context it needs.
Step 3: Create a task with instructions for the AIT
At the bottom of the project (I use a dedicated section called “Prep meeting of the week”), create a task like “Prep my meetings of the week” and assign it to your AI Teammate.
In the task description or in a comment, give it a clear prompt:
Example:
“Every Monday morning, identify which meetings are happening this week in this project ([PROJECT]) For each one, review the previous meeting notes and extract the most actionable topics. Write a structured meeting prep in each upcoming meeting task’s description.”
The AI Teammate produces a prep for each meeting, directly inside the relevant task. You review, adjust if needed, and you are ready.

What I learned
- Keep the project focused. One project, one purpose. The AI Teammate works best with clean, dedicated context.
- Be specific in your prompt. “Extract only the most recent and actionable topics” produces far better results than “summarize everything.”
- The prep improves over time as more meeting history accumulates in the project.
- Real results: This workflow saves me about 1h every single week, and the quality of my 1:1s has noticeably improved.

FAQ
Can this work with group meetings, or only 1:1s?
It works best with 1:1s because the context per person is cleaner. For group meetings, the prep can still surface open topics and action items, but you may need to adjust the prompt to specify how to handle multiple participants.
What if my meeting notes are inconsistent or incomplete?
The AI Teammate works with whatever is available. The more structured your notes, the better the output. Even rough notes produce useful prep, and quality improves as you build the habit.
Does the AI Teammate need access to my calendar?
No. It works entirely within Asana. As long as your meeting tasks live in the dedicated project with clear dates, the AI Teammate identifies which meetings are coming up.
