Need help!
I’ve created a form with multiple questions that are Multi-select options and that each option hasa branch with a set of Multi-select options.
I managed to create a rule for a subtask to be automatically created according to the first level multi-selection on the form BUT I am unable to set a rule for the second level
I have created and defined a Field for both levels and can see them both in the Rule section but cannot create a subtask to the subtask according to the selections made on the form.
Would love some help!
Thank you…
Hi @Sharon_Dar , welcome back
It sounds like you have two issues here.
For rules triggering on multi-select field options, I have found that these work best when you have one rule (one trigger) for each multi-select option instead of adding all options as conditions within one rule. This make sense because Asana will find the first condition that matches and only carry out it’s relevant action - it won’t carry out actions of the next conditions, even if they are fulfilled.
For your 2nd issue, it sounds like you want your rules to create subtasks and then a subtask within a subtask, right? You can do this by clicking on the pencil icon of a subtask in order to go into it and create more subtasks.
However, I should mention that subtasks within subtasks should be avoided, if possible, as work begins to get buried and potentially lost or overlooked. You may want to consider restructuring the subtask hierarchy, perhaps by using subsections, or separators in your list of subtasks using Tab+N to create them. See more here.
Thank you so much @Richard_Sather for the elaborated response.
I did actually think about subsections or seperation in the subtasks but since i did not find a way to have them created automatically - this will not work
We have a pipeline of 30-40 requests coming in daily and I need a solution of rules and automations to break down the request to minimal assets - so if a customer requested a new landing page with a header and an inline image and in addition requested also a social post - the structure of the created task from the form should be:
Main task - New request for XXX launch
- 1st level subtask - Landing page
– 2nd level subtask - Header
– 2nd level subtask - Inline image - 1st level subtask - Social post
– 2nd level subtask - static image
Would love to hear if you have a better solution for this
Hi @Sharon_Dar , you can actually create subsections within the Create subtasks rule action - same way as creating them within a task.
I see nothing wrong with your hierarchy, however you could multi-home (add to another project within the add subtasks rule action) your 1st level subtasks to other another project called Asset Requests for example so those subtasks now become parent tasks within that project. There, you could then expand to see your 2nd level subtasks as 1st level subtasks instead.
Thank you for getting back to me on this - The issue with creating subsections is - I do’n know in advance what the customer will select in the form they will fill in - that is the part I’m unable to figure out.
Even if I create fields to the subcategories selections for the form and rules definition - I will not know in advance which out of the form list they will select.
Any suggestions?
