Anyone have a workaround for if someone selects multiple options on a form and uses flowsana to automates subtasks? I could set it up like a custom field and then make multiple options but was hoping for a more straightforward set-up so it’s easier on the form filler. Please see my screenshot below of how I would LOVE this question on the form set-up.
Hi @KimberlyAnn_DiCredic, thanks for reaching out!
@Phil_Seeman do you have any workarounds with Flowsana for this? thank you!
What are you wishing for as the behavior? Are you wanting a separate set of subtasks to be created for each of the three options, so that for example if they checked the first two options, the subtasks defined for both of those options would get created? Or have I misinterpreted what you’re wanting?
Hi @Phil_Seeman Thanks for getting backing to me.
So my goal would be that if 1 is selected that would trigger a group of subtasks. But at times more than 1 is selected so was hoping to have a 1-3 option that would pull through flows and to kick out subtasks. See a screenshot below:
If you wouldn’t mind having a small hashtag annotation following each of the multi-line options, I have a solution.
The key would be to put something like this on the form question:
Then create 3 tags, each of which matches the text following the # (i.e. you can put whatever text you want, just so long as there is a matching tag (and it doesn’t have to be in parentheses) - what I’m showing is just an example).
Then create a Hashtag Automation workflow for the project.
What that will do is, when a new form submission creates a new task, the Hashtag Automation will attach tags to the task for each option that the user checked.
Lastly, create one rule for each option, like this (using my example):
If the task is associated with tag
dv
, then create subtasks from the XYZ template.
That should get you what you want.
Let me know if any of the above is unclear or if you have any further questions!
Thanks @Phil_Seeman I was playing around trying to use tags but didn’t think about it like this. Great solve thank you! I’ll put this up today and let you know how I did.
@Phil_Seeman Struggling with the Hashtag automation. I have created them on the form and added the tags. However when I add it to flowsana as a hashtag automation there isn’t another step, doesn’t seem to be coming through on the Asana end. 1 time they made tags but they were blank.
Looking at your account, I think I see what’s going on, but to confirm, can you use the “Copy Task Link” button on one or two of the tasks where it didn’t work like you were expecting, and provide the links to those tasks?
To avoid cluttering up the forum with a detailed Flowsana support thread, can you send those links to support at flowsana dot net - thanks!
Thank @Phil_Seeman sent this in earlier today.
