Using Custom Roll-Up Field at Portfolio Level - Data Not Updating

First and foremost, thanks in advance for your time reading this and your potential help.

I’m having some issues with some custom roll-up fields I’ve been using at the portfolio level. I’m going to use one example here but I’m seeing it with other similar custom roll-up fields I’ve created. I want to make sure I’m not missing something obvious in set-up.

What Isn’t Working?

At portfolio level I have a custom roll-up field “Total Actual Time”, it is set to do a roll-up on the “Actual Time” field within the projects in that portfolio.

When I first create the Total Actual Time field, Asana does some immediate calculations and calculates the roll-ups and with some sanity checking of the Actual Time values recorded within a few projects in the portfolio, everything looks good.

A few days go by, the projects in that portfolio have new, additional Actual Time values recorded against tasks and / or sub-tasks.

In some instances the portfolio level, Total Actual Time field seems to accurately identify these changes and increase Total Actual Time, in others it does not recognise these new, additional values into the Total Actual Time value.

Why might this be?

I create a new, identically set-up portfolio level, custom roll-up, rolling up Actual Time and once Asana calculates the values, these all look spot-on, whilst the identically configured Total Actual Time, shows some values that match the new replica and some that don’t!

Second Example

I have a second, similar portfolio level custom roll-up doing something similar.

In this second example, at the portfolio level is a custom roll-up called “Total Actual Procurement”, rolling-up values for a custom project-level field called “Actual Procurement”. As with the first example, when that portfolio level roll-up is first added and Asana does some calculations, everything looks great, all the Total Actual Procurement values are correct.

Then, as Actual Procurement values are added / updated on task and / or sub-task in projects within that portfolio, the portfolio level roll-up adjusts accordingly in some cases, but not in others.

Once again, if I then create a duplicate of the portfolio level roll-up, when added, as Asana calculates the values, everything is what I’d expect, even though the identically configure Total Actual Procurement field is, in some cases, still wrong.

I’m baffled.

I’ve tried to find trends / consistencies in those projects where the roll-up does or doesn’t seem accurate, but nothing immediately jumps out - but I could be going blind from trying to find a root cause.

If anybody has any ideas it would be greatly appreciated!!

@Richard_Sather I believe you had worked with such fields on portfolios. Is this something you have seen?
