✨ Smart Rules: Automate tasks and manage complex workflows at scale Using AI

Setting up rules is key to efficient Asana use, but sometimes navigating the proper triggers and conditions to get the end result that you want can be challenging. Let’s let AI help us!

:sparkles: :zap: Smart Rules are a part of Asana’s new AI tools designed to help you move more seamlessly through the set-up phase of a project in order to get the time-saving automation that you need to keep projects on track.

How does it work?

  1. When creating a new custom rule, you will see the option to “Create rule with Asana Intelligence”:

  1. A new prompt will open up on the right hand side of the screen:

  1. Fill in the requested prompts with plain language (No more searching for the right selection!)

OR

Take a look at the suggestions below the prompt if you need some inspiration for different rules you could use in your project!

  1. Once all the prompts have been filled in, hit “Create.” Asana will then populate the custom rule selections on the left-hand side of your screen!

  2. Review the entries that Asana generated. If everything looks good - hit “Add”

  3. If the generation of the rule has errors:

  4. Adjust your prompt on the right-hand side

  5. Select “Add” and adjust the rule settings on the left-hand side

Key Benefits:

  1. Easy Setup: The process is straightforward and user-friendly. You can type in plain English, rather than having to understand how the mechanics of the rule builder functions.
  2. Saves Time: Quickly get rules into motion without having to search for the inputs and outputs that you want.

:index_pointing_up: Keep in mind: Make sure to check what Asana generates! AI is still in the process of development and can make mistakes. Be sure that the proper Triggers and Actions came through as you desired. You can always edit the rule after it’s been generated.

Example Use Cases:

  1. When “abc” custom field value is set to “x”, assign “y” user
  2. When a due date is approaching, post a comment
AI can either generate a comment for you, or you can specify the comment!
  3. When a task is added to “x” section, add “y” as collaborator
  4. When task is added to this project, add to “xyz” other project

My tips and thoughts:

  • Try generic instructions: Then add additional detail and context once the initial format and triggers have been put into place.
  • Test it out: Once the rule has been created, run the rule in your project to see what happens to ensure it’s working as intended.
  • Give Feedback: Share your feedback with Asana for every Smart Rule generated. You can rate the suggestions with a :+1: or :-1: and then share what worked or what didn’t work.

Availability:

:gear: Available on legacy Asana plans (Business and Enterprise) and on current Asana plans (Starter, Advanced, Enterprise, and Enterprise+).

:light_bulb: To start using Asana AI, enable the AI features in your admin console. Once activated, you can customize AI preferences and manage deadlines more effectively.

Have you tested it yet? What do you think?

Very good @Julien_RENAUD thanks for putting this together!

Totally agree with your tip:

 Keep in mind : Make sure to check what Asana generates! AI is still in the process of development and can make mistakes. Be sure that the proper Triggers and Actions came through as you desired. You can always edit the rule after it’s been generated.

Starter doesn’t have custom rules, so how/where would one use it on that plan?

Good remark indeed, I don’t know :person_shrugging:

Help Center article also mentions Starter:

@Emily_Roman Can you solve this riddle? :slightly_smiling_face:

I have an advanced plan and I do not see create rule with Asana intelligence. Do I need to do something to enable that? I do have AI Studio.

@Sam_Gould, Yes, you have enable several things. See the “Turn it on” section in my Forum Leader Tip on AI Studio here:

Thanks,

Larry

I have it on and enabled but I still do not see it in custom rule builder. I can use create in AI Studio but I can not create a custome rule with AI to use natural language.

I’m having trouble understanding what you mean; can you show screenshots of “I can use create in AI Studio” and “I can not” create a custom rule…"?

See my screen attached. I have noting showing create rule with Asana Intelligence…

Did you both 1) Enable AI Studio, and 2) Grant members access?

The second one means individually listing you as a user.

If so, then Try these troubleshooting steps, then please create a support ticket: see How to contact our Support Team.

Just to circle back. I did create a support ticket and it appears that my nonprofit is a “beta tester” on AI studio and therefore currently ineligible for the natural language rule builder that others can see…

That’s a strange response from support.

Asana’s AI Studio is a completely different feature to the Smart Rule Creator which you appear to be missing. I wonder if it gets replaced by AI Studio once it’s enabled.

@Forum-team , do you perhaps have any insight on this?

I’m also curious about this, as I have AI studio enabled and don’t see the nlp rule builder either.

Thanks all for reporting this! I’m checking with our product team and I will share more details as soon as I have more information

Hi everyone, just a quick update about your question! If customers have AI Studio enabled, they are not able to use Smart Rules today. However, we are re-adding the smart rules functionality soon

Can you give me an update on this? I am still unable to use the smart rule creator with natural language so am prevented from trying some of the cool new workflows in the AI section.

Hi @Sam_Gould, apologies for the delay here! I’m happy to announce we just launched the ability to create workflows in AI Studio using natural language :tada:

I hope this helps, but let us know if you have any questions!
