I’m relatively new to Asana and this is my first time attempting to use rules, so maybe I’m making a beginner’s mistake. I can’t figure out why my rule hasn’t run yet.
I’m trying to create what seems like a relatively basic rule to me—assign this task to someone (me) when the due date is 2 weeks out. I’m doing this so that it will pop up in my Assigned To Me section under My Tasks.
The due date is clearly within the trigger period. I saw someone say that rules only run at midnight which is fine, but I first created this rule 3 days ago. Am I missing something super basic here?
I already put in a ticket with Asana but no one is responding. The chat bot was also not helpful.
For this type of rule to run, the task’s due date has to cross that 14 day threshold at midnight. In other words, the rule only triggers at the moment the task enters that window.
If the due date was already within 14 days, the rule won’t fire because the trigger event has technically already passed.
Once the due date moves from 15 days out → 14 days out (at midnight), the rule should run as expected.
Keep in mind, that without a conditional check such as Check if “Assignee is empty,” this rule is going to assign and reassign every task in the project that crosses that threshold.
Jeremy, thanks so much for your response! I definitely added my test date within the 14 day rule, so that’s at least one reason why it didn’t fire. I have adjusted this based on your advice. Hopefully my next test will not encounter any more problems!
As of right now I plan to be the only person with access to or responsibility for this specific project, so I think it’s OK if I leave off the conditional check you described. Relatedly, that makes me think of a hypothetical question…
Would it be possible to have similar, overlapping rules like this? For example, could I add another rule to this project that is the exact same, but for 4 days instead of 14? I could see this being useful for semi-last minute due date modifications that sometimes occur. It sounds like this means the rule would run again on tasks it already ran the 14-day rule on, but this doesn’t seem like a problem to me if I am the only person using the project.
Does that sound right to you? Is there something functional I’m not considering?
It would be possible to have overlapping rules like that. In your case, though, I’d suggest having the 4 day rule add a comment or adjust a priority field so it clearly highlights the increased urgency rather than simply reassigning it to yourself.
