I created a new project and invited external partners to collaborate. The standard setting (when I click ‘sharing’) is ‘private for all members,’ and I can’t make it public to everyone in my organization and everyone invited.
I soon learned that all my tasks are set to private by default, probably because of this. Only if I add members to a task is it visible to them as well, but I want all tasks to be visible to all members of the project by default. Otherwise, people will probably forget to change the setting, and important info will go missing.
@Kyra2 This is likely due to the Team that the projects are being created under. It sounds like your Team setting is private instead of public to organization. If you are a member of mulitple teams, whichever is at the top of the list on the left-hand side of your screen will be the default team for your projects.
You can change the team for a project by clicking the dropdown menu next to its name and editing the project details. Similarly, if you navigate to the team page, you can change its settings from the dropdown menu next to it’s name as well.
For people you want to collaborate with at the project level, you can use the project Share dialog to add the individuals or teams they are in as members (perhaps as Editor), even if you do not make the project itself public.
Thanks for the suggestion. My organization has only one team; team privacy is set to Membership by request. Since we only have one team, that team is also the one under which my new project was created. Everyone in the organization can access and edit the board if they want to, which is fine.
It’s just odd that tasks are set to private on a collaboration project and even weirder that I can’t change that setting. I’d love to hear if you or anyone else has any other suggestions for where to look!
The issue isn’t inviting external people to join the project, that worked. It’s just that all tasks are set to private by default. Instead, I want to make everything in the project public to everyone in my organization and to everyone I invited to collaborate on the project, but it seems like there isn’t a setting to change that.
Asana’s approach is to manage at the higher team or project level, because task-by-task would be hard to maintain. Usually you’d have more than one team, and include one team called All Staff or something similar and make that team public (not Request to join) and put public projects in there. Then that option you see now as unselectable will be available to you.
