Hi everyone! We’re excited to launch a much-requested improvement to our Asana to Outlook Calendar integration! :star2:

The Asana to Outlook Calendar integration is available on our existing plans Starter, Advanced, Enterprise and Enterprise+, as well as in our legacy plans Premium, Business and Enterprise.

:old_key: Key Highlights:

  • Shared Team Visibility: Now, tasks and milestones in Asana will automatically sync to shared Outlook Calendars. This helps project managers and team leads ensure everyone is informed about responsibilities and deadlines.
  • Accurate Event Timing: Task start and end times in Asana will now directly match the start and end times of events in Outlook, supporting precise scheduling.
  • Individual Productivity: Team members can now block off focus time on their Outlook Calendars to work on tasks from Asana, helping them manage their workloads more effectively.
    Security and Access Control: This integration replaces the old Calendar Export solution. Enterprise IT can better control access to the Outlook Calendar Sync using Microsoft Entra. Unlike the existing Calendar Export solution, this update prevents any user from copying and pasting the calendar URL to export project data.

We stopped using Asana because of the lack of event and task management with the schedule. We work with 1 week ahead asignment and its very difficult to do so in Asana.

Right now we are using Google Calendar and Excel, Asana would be perfect, but this is key for us, to easily program the tasks on the schedule and change the duration of them as if they were an event of Google Calendar.

Is there any way to achieve that?

Also sync to google calendar only syncs as a all day event instead of fixing it into the programmed time.

I was trying to use this feature and went to add it to my calendar in November. I have a task that is set for November 3rd but because that’s a Sunday, I wanted to move the start and end date to November 4th - November 5th because that’s when I’ll actually be working on it. But it kept saying “something went wrong. Try again later.”

I’m assuming this has to do with the date of the task itself. When I tried again and just added it for the original task date of November 3rd, it worked just fine. But when I tried November 3rd - November 4th it said the same thing.

I did figure out though that you can adjust the dates in Outlook calendar and it will update in the Asana task, but just can’t be done in Asana first.

Not sure if this is an easy fix, but just wanted to share in case someone out there is dealing with the same issue.

Can’t find the location of that first screenshot “Sync Setup”.
Would have been nice to get a few bread crumbs to figure out where it’s hidden, because I can’t find it.
Why would you roll out a new feature like this and not tell us how to install and access it?

Ok. I found it in the app install screen that this post doesn’t point to and that you can’t read once you have installed the app.

Here’s how to set up the Asana > Outlook Calendar sync:

  1. Navigate to My Tasks or the specific Asana project where you’d like to add the sync
  2. Click Customize in the top-right corner, navigate to Apps, and search and select Outlook Calendar
  3. Click Data sync setting and authenticate with your Microsoft 365 account
  4. Configure how you want Asana tasks to sync with calendar events and click “Save” to complete the setup.

You get a 10 for the new app.
And a 0 for use manual.

@Vanessa_N amazing! However, I use the integration with zzBots instead
 I tried the integration in Asana and it did not work as intended. Every single task in Asana became an all day event in my calendar for the due date and it did it twice so it was a nightmare of a clean-up in my outlook calendar. I am nervous to turn this on so I will wait at least a few weeks for a sizable number of users to test it out first. Did the calendar sync ever get this kind of feedback that I mentioned before this new update hit?

A couple of questions:

  1. Task sync direction implies more than currently selectable. Can we expect a two-way sync in the future? Especially for rescheduling tasks it would be really conventient if that could be done from Outlook, as in Outlook we can overlay colleague calendars with our own to see availability.
  2. The options under Field sync direction don’t seem to have much options save for removing the adding of collaborators as attendees. Can we expect this to change? What would be great is to be able to destinguish between required attendees and optional attendees. Collaborators now sync with “Attendees” which in actuality is “Required attendees” in Outlook. This could work maybe by creating an custom people field, and syncing that with optional attendees? I’ve tried creating the field but it doesn’t give any options to add field connections.

@Vanessa_N I also noticed the integration doesn’t seem to work for recurring events.

  1. New copies of recurring tasks with calendar events are appearing without a connected calendar event.
  2. Not possible to automate as this as this isn’t a thing yet: Enable Recurring Tasks to Trigger Rules

Ideally I’d connect with a series in Outlook, but I understand that might be challenging tecnically.

I think at least there should be a way to automatically have new instances of recurring tasks appear in my calendar.

Really excited to see this update! I’ve already used it successfully for My Tasks. I’ve run into an issue and want to see if others have encountered the same problem:

We have a shared PTO project and I encouraged my teammates to sync it with their Outlook calendars. Most prefer to create a separate calendar that they can toggle on and off, but some prefer to have it built directly into their Outlook calendar. However, now that one person has synced it with their calendar, no one else can sync it:

Any thoughts or solutions here? This would make more sense if this was a two-way sync to avoid multiple edits via Outlook, but I don’t understand the restriction as is.

Can you sync it to a shared/team calendar?

No, that would still mean there is one toggleable calendar that teammates would have to use, and they can’t add it directly to their own Outlook calendar

Can this be used with Shared Calendar? I see the option to access and add to a Shared Calendar, but when I do, it says “Something went wrong”

Unfortunately here on the Forum team we don’t have access to this specific integration to test some of the issues reported on our end. The best way to have these escalated would be reaching out to our Support team and providing some examples of event creations that didn’t work well. They will be able to look into the logs and file a request with our Developers. If you run into issues using the Help Center, please follow these suggestions:

  • Option 1: Access our Help Center in an incognito browser window and start the chat via the button at the bottom right without logging in. This way, you will not run into the authentication issue that is still in the process of being fixed.
  • Option 2: If incognito mode doesn’t work on your end, please use this temporary form to submit your request to our Support team.

@Jan-Rienk, great questions. This iteration has been fully launched for now, and there are no immediate plans to add more functionalities. However, two-way sync is a highly requested feature that is on our radar.

I’m passing all the feedback in this thread to the Product team, and hopefully, these suggestions can be implemented in the future. :slight_smile:

This is likely unrelated to the Calendar add-in, but more related to meeting the limits of rule actions (2.8 / 2.9) in your current plan.



so i cannot use outlook calendar sync with asana advanced? I don’t this is related the limits from my subscription.

Having the same issue, did you resolve this? We have shared Outlook calendar and I want all tasks for that project to sync to our 1 shared calendar. It will work if I select my personal calendar but won’t work when I select the shared calendar. My thought was it might need to be a group calendar instead of a shared calendar.

Jan did you find an answer to this? I’m getting an error when I select the shared calendar I see. Its frustrating as this only has value if you can somehow sync to a shared calendar.
