Different Types of Tasks and Custom Fields in One Project Board

Hi everyone,

Is there a way to create multiple tasks in a project from different task templates? And is there a way to have custom fields on some tasks and not on others?

Thank you!

The answers to your question

Yes – you would create multiple templates within the project and create the tasks from those templates. Alternatively, you could create rules/workflows that create tasks, with information already associated with the tasks, if certain conditions are met, or by manually applying a rule.

Your answer to your second question

And is there a way to have custom fields on some tasks and not on others?

Is no, but also kind of yes.

In Asana, custom fields are applied to all tasks within a project, so every task in the project will have the same fields. If a custom field doesn’t apply to a task, it will be left blank. However, if you multi-home tasks (add them to multiple projects), you can have different custom field data on some tasks and not others. This works well if you have groups of similar tasks that need the same custom field data.

For example, I use this method with my content. I have one project for social media, blogs, etc., and they all roll up into a master calendar. The common custom fields, like deadlines or priorities, live in the master calendar, while the specific fields for certain types of content live in their own projects.

The downside is that when you’re viewing a grid of tasks in the main project (in my example the content calendar), you won’t see the custom fields for tasks that are multi-homed into different projects, potentially making visibility an issue.

You can also use tags, but tags can not be used in automations and aren’t as controlled as custom fields are.

Best of luck!

Christine
