Create Rule to allow assignment of tasks based on project "role"

Hi @Erfaan_Arif , I don’t believe this has been fully released. We have a couple variables for rules, but not “role based” like how we can assign a task to a role.

Is there any update on this or perhaps could we request to have this added to our account.

This is my #1 Asana need right now!

2 is allowing templates to have before and after start due dates on the same template!

Hi @Jacob_Sappington,

The enhancement announced by @Erfaan_Arif was for roles in project templates. The request being made in this thread is for roles in rules, which is a different thing. Asana hasn’t released or announced anything about adding roles for rules, so you’re not missing anything in your account. If you haven’t yet, make sure you vote for the feature (the purple button at the top of this thread).

Thanks for this tip @Christine_Bolton! Very clever! It’s the best solution to a rules-triggered reassignment of a task based on a custom field I’ve found. It’s a shame we can’t just do “set assignee to person in custom field ”.

Is there a way to configure your Scenario 1 without using one rule per individual? (Noting the 50 rule limit in Asana).

FYI you can do exactly that using a rule action in our Flowsana integration:

Hoping you will implement Project Roles support for Rules. I would love the ability to have a rule trigger the creation of a task or subtask which can automatically be assigned to a Project Role

I’ve built out a project with workflows so that tasks are automatically passed through the team, from John to Jane to Jack. Once each step is completed (i.e., John completes his part, it reassigns to Jane).

Now that I’ve turned this project into a template, I’d like to replace John, Jane, and Jack to Roles - Graphic Designer, Creative Reviewer, Deliverer. Is there a way to build Roles right into a workflow? That way, I can share this project with other teams so when they go to use the template, they just plug in the names of their team members in the Roles (i.e. our graphic designer is Sara!), and any/all tasks that be assigned to “Graphic Designer”, for example, would now be assigned to that team’s Graphic Designer, Sara, NOT John.

It would be great to be able to assign roles in existing projects rather than just templates. I could then have a rule to say anything in ‘X’ section should be assigned to a ‘Y’ role - this helps give direction as to not only what role, but also what level (ie. senior, junior) when actually coming to assign a task to a specific individual.

I also second assigning by role for tasks and subtasks created by rules!

If rules could support project roles aka “assign this to the project manager for this project” they would be 10,000x better.

The current dynamic options of assignee, task triggerer, and task creator are largely unhelpful.

I’d like to be able to set up a rule where a variable/dynamic person can be messaged based on the project roles we have created for our templates.

Hi @Chantelle_Drury, thanks for reaching out! You can currently add variable assignees in project templates based on their roles, see this comment for more details:

This option is currently not available for rules, we will let you know if this is something we implement in the future!

Another vote for this. Very frustrating that if I try to create a Task with a standard set of subtasks by using a Task Template, I can assign the subtasks based on Project Roles, but I can’t set the due dates of any subtasks in any way relative to the due date or other custom dates of the parent task, they can only be set relative to the date the task is created…and if I try to create a standard set of subtasks under a Task by using a Rule that triggers when the Task moves into a designated section, I can set subtask due dates based on custom date fields for the parent Task, but I can’t assign the subtasks based on Project Roles!

Really hoping Asana can add Roles as one of the Variable Assignee options in Rules so that I could have both Project Role-based assignments and parent-task-relative Due Dates. :pray: :crossed_fingers:

This is a good feature but my company is ultimately limited due to the variable assignees for current projects applying only to Rule Triggerer, Task Creator, or Assignee. We would love a feature that allows us to create rules using variable assignees based on the project’s roles.
