💡 Automate Out-of-Office Coverage with Rules in Asana

Ever get tasks assigned to you while you’re on vacation? Here’s a quick automation tip to make sure nothing slips through the cracks while you’re away!

I want to be sure to credit @fitz2 for originally suggesting this rule and @Bastien_Siebman for including it in The coolest Asana rules :sunglasses: It has been a while since it came up, so I wanted to share mine!

I set up two rules in my “My Tasks” project that automatically handle out-of-office communication and assign backup coverage while I’m away.


:gear: What I’ve Added

I created two custom fields:

  • OOO → a single select field to indicate if I’m out of office (OOO or -)

  • Backup → a people field where I can list my coverage contacts

Then, I added two automation rules to make everything flow smoothly:


:repeat_button: Rule 1: Notify When Tasks Are Added During Vacation

Trigger: When a task is added to my project
Condition: If the due date is between my vacation dates
Action: Add a comment that mentions the task creator and explains I’m on vacation, with details for who to contact for urgent matters.

:speech_balloon: Example comment:

“Hello [Task creator], Jeremy Long will be on vacation [Task due date]. Please adjust the due date or reassign as needed. For urgent matters, contact the department directly at [phone/email].”


:repeat_button: Rule 2: Ask Backup Person(s) to Review Due Tasks While Away

Trigger: When the due date is approaching (task is due today)
Condition: If “OOO” is set to “OOO”
Action: Add a comment tagging the backup person(s):

“[Backup] Please review this task while I am away.”


:white_check_mark: Why It’s Helpful

  • Ensures tasks don’t get stuck waiting for your return

  • Keeps communication clear for teammates and collaborators

  • Requires minimal maintenance — just make sure you’ve designated a backup person for critical tasks and toggle your “OOO” field on upcoming tasks before heading out

Re the trigger, I imagine this (and Rule 2) is a rule found in your My Tasks (or maybe a project that mirrors it), right?

Re the condition: do you update the vacation dates in the rule itself (as opposed to the approach with custom fields for OOO and Backup which are kind of variables that configure the rules.

Hi @lpb,

Rule 1 is best suited for your My Tasks since it allows you to directly update it with your personal vacation dates.

The advantage of Rule 2 and the Backup custom field is that they allow tasks to have different backups assigned. Instead of all your work being routed to one person, you can tag in backups whose work is most closely related to each task.

This setup can certainly live in My Tasks, but it would also work well within a team project, as outlined in your default workflow post, because the trigger and variable are defined by the custom fields instead of the rule itself.

I haven’t used custom fields in this way, but I am definitely “rules girl” when it comes to Asana. Our team is small, so we’re all aware when someone is away etc, but I can see this being very useful for our larger clients. Thank you for giving me something else to play with! :nerd_face:

I was able to use Ai studio and conditional check to check my profile (I had to tag myself in the guidance) but it could check my status if i marked out of office in my profile.
