Using AI studio to reassign work when out of office

How to Set It Up:

  1. Navigate to AI Studio in your My Tasks

    • Go to your My Tasks section

    • Click on “Customize” and select “Rules” or access AI Studio

  2. Create a new rule with the trigger:

    • When: Task is added to this project
  3. Add a conditional check:

    • Create a condition to check for out of office status

    • Important: Tag yourself (@your name) in the AI guidance so the AI knows whose status to check and give the AI guidance to check for if status is set to out of office.

  4. Set the action:

    • Then: Reassign task to [specific team member]

    • Add comment: add comment about being out of office and this task is being reassigned.

    • Choose your backup person who will handle tasks during your absence

  • Tasks get reassigned immediately when they’re assigned to you

  • No manual intervention needed while you’re away

  • Team members get immediate clarity on who’s handling what
