Assistance with Billing and Guest Users on Starter Plan

Hello,

We are currently on the Starter plan with 2 paid seats, and I add the rest of my team members as guests. Guests do not have editing permissions and are labeled as “Guest” within the projects in Asana. However, in the Admin Console, these guests are being included in the billable seats for our plan.

I recently received notifications stating that we are exceeding our number of seats and that our plan will be upgraded automatically to accommodate additional users.

My goal is to keep only 2 paid seats while adding the rest of the team as guests, ensuring we are not charged for them. Could you please clarify why these guests are being counted as billable users and guide me on how to remove guests from the billable seats?

Here are some key points to clarify:

  • Free guests are only available in organizations. If your space is a workspace rather than an organization, all members, whether they have full or limited access, will count toward your paid seats.
  • If your space is an organization, all users with your corporate domain will count toward your seats when added to projects under your paid subscription, even if they have limited access. Free organization guests must use a different email domain than the one associated with your Asana organization.

If you convert your workspace into an organization by adding your corporate email, you can separate members (domain users) from guests (clients, vendors, or anyone without your corporate email).

It’s not possible to grant free guest status to domain users. However, an alternative to managing license usage is opting for a division plan instead of an org-wide plan. This allows you to keep members requiring licenses within a “container” team tied to your paid plan while enabling others to collaborate with paid users in free teams outside the paid division. Members of the paid division will still have access to their paid features in these free teams, allowing collaboration between paid and free users.
