Which features discussed during the webinar correspond to which tiers?
What tiers will AI Teammates be available on?* Pricing tiers will be announced early next year when we launch General Access.
How does the Timesheets and Budgets Add-On work?* The Timesheets and Budget Add-On is available for Advanced, Enterprise, and Enterprise+ tiers for an additional purchase.
Subtask visibility
Where can I find the feature to expand or collapse all subtasks in a project? You can find this feature by clicking the Options button on List view and selecting Subtasks.
Does this feature work with all project views? Yes, we will start rolling out this update on Project List view and then we will roll it out for all project views and My Tasks.
Can I save this expanded or collapsed view for everyone accessing the project? Yes, you can save it for everyone.
If I filter the view to show only incomplete tasks, will it also display only the incomplete subtasks? Yes, the filter will apply to subtasks as well.
Will only the first level of subtasks be affected or the sub-subtasks too? Currently only one level of subtasks displays in a project’s list view; this doesn’t change that.
Smart workflows
How do I find and use the Smart Workflow Gallery? Navigate to “Templates” when creating a new project. You’ll see a curated list of prebuilt AI workflows like request tracking, event planning, and ticketing. Choose one and follow the guided setup.
Can I customize workflows from the Smart Workflow Gallery? Yes, each smart workflow is fully customizable. You can update intake forms, task types, statuses, and add automation rules to fit your team’s process.
Are new templates added to the gallery regularly? Yes, more templates are rolling out over the coming months for key team use cases across organizations.
Reference custom fields
Can you link to status updates or project status in these custom fields? No, not right now - you can only link to another task, project, portfolio, or goal. But thank you for the suggestion - we’ll make a note of it!
Is bidirectional linking for reference custom fields on the roadmap? It would be helpful to have bidirectional linking like for dependencies (for example, when you make task A ‘Blocking’ task B, then when you open Task B, you will see it is ‘Blocked by’ task A). No, this isn’t currently on the roadmap. But we will flag it to our PMs!
Can a user see the task or project linked to a task through the custom field if they don’t have access to it? Currently, users cannot see the name of the referenced project or task unless they have access to it.
Can you group tasks by reference custom fields? Today, it is not possible to group tasks by reference custom fields, but this is a great suggestion for our roadmap!
Do we know when we can use reference custom fields in rules? Great news - reference custom fields now support triggers and conditions in rules!
Are there any plans to be able to dynamically fill in reference custom fields via a rule? I would like to be able to have the reference custom field get filled in automatically based on the project that the rule is being triggered from. No, this isn’t currently on the roadmap. But we will flag it to our PMs!
AI risk reports
Do AI risk reports reference messages posted in the project? Messages are not included today in the project data the AI risk report analyzes. But we will consider it for our roadmap!
Can the AI risk report take into account team members being out of office when it flags task due dates or risks? One of our Product teams is improving the out of office experience generally in Asana, and this is something they have been considering. We will be staying close as they make updates, so we can figure out the impact to AI risk reports.
Similar to the previous question - does the AI risk report recognize if a person is out sick based on their comments? Currently, AI risk reports use information that exists inside the project, including from comments - so yes, it is possible for it to recognize this risk. But we’re still planning to have a more accurate way to capture this as we make progress on the out of office experience in Asana generally.
Could the AI risk report be adapted to help a project manager produce a weekly risk and issues Log, rather than only being part of the AI Summary? You can subscribe to risk reports through the toggle on the bottom left of the AI Summary, which will send you a new report once a week as long as there is enough work or content completed in the project. Currently, they are only accessible in the Project Overview tab, but we are exploring additional entry points and customized guidance.
The AI risk report leverages a paragraph format today - is there another format we can request? We have received feedback that bullet points or another format would be more user friendly. We will look into these potential output formats in future iterations.
Are there plans to expand AI risk reports to the portfolio level to understand risk across multiple projects? Yes, this is on our radar and something we’re exploring! We know that different levels in the organization need to understand specific types of risk.
Can I supply a risk matrix to the AI as guidance in generating the risk report? There is limited ability to customize the AI risk report today. but we know that RAID logs are a standard practice in many organizations, and we are actively exploring ways to produce them in Asana.
How often does the AI risk report get sent when toggled on, and can we choose a specific cadence? You should receive an AI risk report once a week for active projects, assuming there is enough new work or content in the project since the last update. Custom scheduling is not on the road map right now, but it is something we have discussed!
Do AI risk reports use up our monthly AI credits? No, they don’t use credits. It’s a feature included with Asana AI, like smart summaries or smart status updates.
Saved grid views for goals
When I adjust the grid view for goals and press save, a popup appears telling me that the change is visible only for me. Are there the plans to enable saving a view that is shared with others? For now, we’ve prioritized giving each user the ability to save their own personal saved view. But we will share this feedback with the Product team.
Can you export the goal grid view? Yes!
AI Teammates
On what tiers is AI Teammates available? AI Teammates are currently in beta and are not yet generally available. Pricing tiers will be confirmed when we are closer to General Access. We’re aiming to launch General Access early next year.
Are the AI agents built on top of an underlying AI model, like ChatGPT or a similar LLM? Yes, AI Teammates is built on top of Anthropic and OpenAI, but the models don’t learn from nor retain your data.
Timesheets and Budgets Add-On
Are you able to pre-set tasks as billable or non-billable? The billable/non-billable setting is applied at the time entry level, not pre-set at the task level. Users select whether each time entry is billable or non-billable when logging time.
How do we access project budgets? You can access project budgets in two ways: (1) Click the drop-down next to your project’s name and select Set project budget; or (2) Navigate to the Overview tab of your project, scroll down to the budget bar, and click the settings button on the bar. Note you’ll need to be a project admin in order to access project budgets
Is there any way to set the budget indicator in days instead of hours? Today, we only support hours and budget.
What kind of security exists to view, manage and report upon budgeting planned/actuals? Today, only project admins can see financial data (rates, estimated costs, actual costs).
Is there a limit as to how many separate time entries can be made when logging time against a task? No limit!
Can timesheet catagories (billable and non billable) be customized with additional options like “cost avoidance” or “exceptions”? Not yet, but we are building custom categories right now!
Do timesheets need to be associated with Tasks (to calculate overhead as well)? Yes, you will need to use tasks to calculate total time worked.
