How do I access AI Studio?

When a rule is run on a task, what data can the AI access?
Rules created with AI Studio are sandboxed by design. The rule builder instructions dictate the data the AI can access, allowing you to build smart rules with minimal information.
Without instructions, a rule has access only to the Asana objects (e.g., tasks, projects) that it references. If no other references are provided, it will access information from the triggering task and the project’s name where the rule exists. For example, if a task is multi-homed into multiple projects, the rule won’t recognize which other projects unless specified in the instructions.
There are a few ways that configuring instructions to Asana AI will determine rule permissions:
- Determining which tasks to access
- By attaching documents or third-party attachments to the instructions
- By configuring which task data can be accessed

Troubleshooting
When I mention many projects, the AI doesn’t seem to be reading all the data from them
If you @-mention multiple projects, the system will include as many tasks from those projects as can fit within the context window, up to a maximum of 200 tasks. The included tasks are sorted by last modified date. So if the data exceeds the limit, some tasks from the @-mentioned projects may not be sent to the AI.
A rule in my smart workflow is triggering too early
If you are using the “Task added to project” trigger and creating tasks in list or board view, the rule may fire immediately before the task is fully filled out. To avoid this, create tasks using the “Create Task” button in the top navigation. Enter all the details, including the destination project, before creating the task. This will ensure the rule triggers with complete information.
I received a warning that the smart rule couldn’t run an action
This usually indicates the AI does not have sufficient context to take the requested action clearly. Viewing the warning details will explain the specific issue and suggest how to resolve it. Often the solution is providing additional instructions so the AI has the necessary information to proceed confidently.
Often, the instructions given to the LLM need to provide additional context. Some examples of instructions lacking instructions include:
- “Assign this task to the person with the most available bandwidth”
- “Assign this task to the person with the most context” (assuming no other info is given)
Attachments are not working in smart rules
An issue with attachments may be due to one of the following:
- The attachment may be too large. There are size limits that will prevent the rule from working if the limit is exceeded.
- For PDFs, only text is extracted. Images in PDFs are ignored.
- The attachment type may not be supported. Check the documentation for the current list of supported types.
- Images are only currently supported for Claude models.
- If using Incognito mode in Chrome, you may need to allow third-party cookies in your browser settings.
