Universal Dashboard not visible/findable for some users

Hi Asana community,

The Universal Dashboard is an important tool I want to provide to leadership for high-over insights on everything that is going on in our company - across multiple portfolios.

Testing the way it looks with several other users (with different permission levels from my Super Admin one) I learned that some can see the Universal Dashboard and some can NOT. There are no common denominators I could find between the users that can not see the dashboard.
This is strange because a) the dashboard is set to public visibility and b) all our users are automatically added to the ‘whole company’ team Kramp Group and the dashboard has been shared with that team explicitly too


The dashboard is also not searchable with the search bar
There is no option besides the ‘recent’ section on the dashboard page, like ‘all’

When I share the link to the dashboard with users that don’t see it, they can open it allright and thĂ©n it shows up in their Recent section naturally. But this is not a workable solution for a dynamic group of >250 members.

Can you please help me find a solution so that the dashboard becomes visible for all relevant users?

Yes, unfortunately I think you’re checking all of the boxes and doing everything right, but I believe the sidebar is only designed to display recent, starred, and directly shared items. Instead of a universal dashboard, is it possible to build those charts inside of a native dashboard inside of a main portfolio since portfolios are searchable? I know it’s not ideal, but maybe until universal dashboards are searchable.

It sounds like either a bug or something missing (some users are Members and some are Guests, or something like that) that some users see a dashboard and others don’t. I think you should Try these troubleshooting steps, then please create a support ticket: see How to contact our Support Team. Explain to them specifically what you mean by “see” to help them get to the bottom of it.

The sidebar “starred” is really a personal thing, so if you want to use that, I think you’d want to notify the leadership (Message to the leadership team, perhaps) whenever a new dashboard is created and remind them to star it then and there so it remains in their sidebar.

Alternatively, or in addition, you could maintain a list of these links on an intranet, or in an Asana project note, or some other shared space where you store such things. Then everyone should either star that (if it’s an Asana work object) or bookmark it otherwise.
