The portfolio upgrade you've been voting for: Bulk actions in Grid view 🎉

Hi Community!

Remember this thread? The one where you wanted to trigger manual rules across multiple projects at once from your portfolio, but had to do it one project at a time? Or this one? Where someone mentioned going through over a hundred projects updating 10 different fields? Where another member wanted to add hundreds of projects to a new portfolio and kept putting it off because there just wasn’t a good way to do it?

We heard every vote, every comment, every “+1.” And today, we’re thrilled to share: bulk actions in Portfolio Grid are officially here!

You can now multi-select projects and portfolios directly in your grid view and take action on up to 500 items at once. Edit custom fields, multihome to other portfolios, trigger rules across your entire selection… all without opening a single project.

:double_exclamation_mark: Please note that this update will be gradually rolling out to all users over the coming days. If you don’t see it just yet, hang tight!


So what can you actually do?

If you’ve ever stared down a portfolio with 100+ projects knowing you need to update them all… this one’s for you.

  1. :black_square_button: Multi-select items right in your portfolio grid. Select up to 500 projects or nested portfolios at a time.
  2. :pencil: Bulk edit custom fields across dozens of projects in seconds. Priorities, statuses, you name it.
  3. :open_file_folder: Multihome projects to other portfolios without clicking into each one.
  4. :high_voltage: Trigger rules in bulk to kick off automations across your entire selection. Yes, you can now run a manual rule on multiple projects at once.

  1. Filter first, then select. Narrow your grid view before picking items. It keeps things focused and helps you avoid accidental edits.
  2. Mix and match. You can select both projects and sub-portfolios in the same action, no need to work through them separately.

This is just the start. We’re exploring ways to expand bulk actions in portfolios even further — think things like changing project owners, removing items from a portfolio, or archiving projects in one go. No timeline to share just yet, but your feedback keeps shaping what we build, so keep it coming.

Hi @Bridgette_Belcher , yes, I have it in my space and it works like a charm, once you actually discover how to multi-select projects! It’s a bit tricky - I have only found this by selecting the first project, then holding the Shift key and then clicking on the last project to create a selection.

@Vanessa_N , is that the expected behaviour? One would think that clicking and dragging up/down, should work, just like you can select tasks. I don’t think it is very intuitive or discoverable in the current state. (some feedback to the product team as this gradually rolls out)

Wow, not intuitive at all. I would still not have realized it was “working” had you not specified!

@Vanessa_N I’m inconsistently able to select more than one project (sometimes it just does not do anything…) but even when I am able to select multiple, I only know that it’s done it because the pop up on the bottom of the screen says something like “3 items selected”–it does not indicate visually in any way which projects I’ve selected. When multi-selecting tasks, it’s far more obvious and consistent. I hope this could be addressed because it’s a feature I VERY much want!

This is a very welcomed update.

I too thought I do not have access to this feature because I did not know how to multi select project until I read @Richard_Sather comment using the shift key. Def worth looking into this.

Hey @Richard_Sather and team, I’ve shared the feedback about clicking and dragging up/down with the PMs. They’re going to look into what’s needed to add this to portfolio multi-select in a future iteration, and they really appreciate the suggestion!

@Bridgette_Belcher, we’ve tested this across different accounts, web and desktop app, and haven’t been able to replicate the intermittent issues or the lack of visual distinction (checked in both light and dark mode):

Are you still experiencing these issues? If so, could you please:

  1. Confirm if the issues happen in different browsers, incognito, and desktop app, if you use it?
  2. Send me a DM with your browser version and a few screenshots or a quick screen recording?

It’s been working properly the last day or two! Nothing changed on my end, I just figured you guys fixed it! Whatever happened, I’ll take it!
