I need to create a report for each assignee, showing the actual hours spent on all tasks and subtasks. We have many different projects, so I need to be able to count the total hours each assignee spent on all completed tasks and subtasks within a specific project and time frame for example (from 1/07/2024 to 1/08/2024). Unfortunately, the report is currently showing fewer hours than expected.
Hi again @Richard_Sather unfortunately itâs not a problem with this filter, I removed it,and itâs still the same. I have this Assignee and he is assigned for many subtasks, but itâs not counting correct time. I was thinking that the problem is with the Subtasks, then I was concerning about we using field Actual Hours and not just Hours, so unfortunately the Issue is still relevant⊠trying to find a way how to make Reporting Dashboard correct
Ah, in that case you should definitely decide upon ONE field for your Actual time (and Estimated time, which could be your Hours field?).
But in case you want the sum of both, you could use a formula in that project that could be as simple as adding your âActual timeâ and Hours field. (not that the native Actual time field in Asana will convert into minutes once you add a number to it, so you will need to divide it by 60.
So you may have something like this in your formula:
(Actual time +0 / 60) + Hours
You can then use the formula field as your Y in your charts since it will show the sum of both from all tasks or subtasks. However, careful of double entries in both fields.
Not ideal as a setup but it should give the correct data. But I do implore you to decide on one global field for time tracking throughout your entire Asana space - better late than never!

Change the Y-axis to Custom field > Your formula field
Are you certain you have values applied to Actual time or your custom âHoursâ field for your subtasks? And remove the Subtasks filters so that it shows tasks & subtasks?
Iâm running into limitations on the usefulness of time tracking while testing things to make a recommendation to the company Iâm currently supporting with Asana adoption. They have user support, development tickets, and other project tasks where they need multiple people to work on one item and track time in subtasks. Theyâve chosen to keep the assignee as one person through the life of the ticket (user support or, for development, the system manager). Advanced searches donât include âtime added byâ - a lovely feature thatâs included in reporting charts. We are struggling to get any consistent, meaningful report set up that will come close to serving their needs. I came to the forum because I was shocked that even though time on subtasks rolls up into the total time on the parent task, the subtask time is excluded if I try to show actual time spent, grouped by a custom field since the the custom field is not populated in the subtask. And Asana still doesnât have a native way to auto-populate subtasks with the custom field choice of a parent task (variable field choices would be a HUGE leap forward! i.e. when the parent task assignee is changed, set the subtask assignee to match the variable choice of the current parent task assignee⊠when the parent task custom field is categorizing this task to a system, automatically ensure all subtasks are tied to that system so their details donât magically disappear from charts where weâre trying to see data grouped by system)
Hello, I am also struggling to get Time tracking reports the way we are using it with the my company.
Task allow multiple user time entry, but when I want to break that down by in capacity planning, the hours roll to the Assignee, not the actual user entering hours.
Second point, I want to see Actual time entries in a project, by split up by assignee, the stagged bar chart is not allowing me. Any ideas?
Lastly, even if a I can build report by Actual time added by user option, when I click on SEE ALL, the list view does not break out the information, is this a bug or by design?
