Recurring Task Project

I have a need to create a recurring task project for 17 managers. They have 2 tasks that must be completed every month. The due date are the 2nd Friday of the month and the Final Friday of the month. When I set these up as recurring tasks the managers mark them complete - a new task for the next month’s task automatically appears. In theory this is what we want but it causes a lot of confusion as it looks like there is incomplete work and makes reporting diffiuclt.

Leadership wants to be able to quickly see at a glance who is completed with that month’s task or who still has outstanding work.

I have tried setting this up as recurring tasks but is confusing for the user as well as the leader. The leader has to manually count who is in the current month or if the status is marked complete count whose task is already on the next month.

I tried to set this up as 17 individual projects with the tasks being milestones for each month but the 24 milestones nested together so it doesn’t give that quick reporting portfolio view I was hoping for.

How can I make this easy for both the user and leadership view?

One idea that may help is to keep the recurring tasks but adjust how leadership reports on them.

For example, create dashboard charts at the Portfolio level that include all 17 projects, filtered by Due date using a date range for the current month. You could even create separate charts for Completed and Incomplete tasks within that same date range.

You can easily do separate charts by Duplicating the chart>> Adjust filter (Date range)

And then repeat Duplicating and adjusting Title and Filters every start of the month for leadership reporting.

This way, leadership can quickly see who has completed this month’s work and who still has outstanding tasks, while next month’s recurring tasks won’t interfere with the reporting.

Based on your workflow, I suggest the following:

  • Create a project to manage 17 managers, as each manager has two tasks to complete twice month.
  • Create twice-monthly recurring tasks using Scheduled Triggers rule. Do not use Recurring Task function.
  • Divide project into groups based on person in charge, allowing you to track the task completion status of each manager.
