I don’t see how we can use Asana without being able to assign Client IDs and File numbers. We work with many repeat clients, so each client needs to have an assigned ID, and then each particular job/project assigned a number. For example, a client would be 6200 and the project would be 11248, so the particular project would be 6200-11248. Our other databases have this automatic numbering system, and it is what we use to track payments in Quickbooks. How is this not available???
Hi @Shilpa_Hari and welcome to the forum!
FYI I merged your post with an existing topic for this request. You can vote for it via the purple “Vote” button at the top of the thread!
First time commenter here. I think it’s worth pointing out this forum topic is valid, important, and still open after more than four years. An enterprise-grade project management tool should have the capability to assign and validate a unique project number.
Another vote for this. I actually can’t believe it’s not a thing.
I’m investigating moving a studio (within a very large organisation) from monday.com, but as we need our job management software to generate unique intelligent numbers and to be able to track this number across files outside of the project management system, and record print details against this job number in a database… if there is no option within Asana (or easily modded with a 3rd party app) then Asana is not an option.
What I like is how this request was opened up 4 years ago and the Asana rep said “I will pass on your request… how else can I help you?”… passing on the request really isn’t helping, and then having this go dead for about 4 years is unbelievable. It is a basic thing that’s been a need for projects for decades.
Still needing this in our company also. Unique codes tie projects together across platforms and DAMS and Client libraries.
We need automatic Project Numbering, why is this such a hard task for Enterprise customers to get?
I convinced my dept to upgrade our account, thinking I could make a job request form, but without project numbers I’m not sure we are going to be able to continue using this system.
We have a marketing request form that generates numbers and names tasks (12345-Event Name) which we do with a cobbled together web form. I thought Asana’s forms would be the answer. After getting the budget together to get the upgrade I’m reading I will need some other service in addition, like Flowsana?
@Jack_Cavicchi, Did you explore using a form plus a rule with a variable to put a unique ID custom field value in the task’s title immediately after form submission? This can be done natively in Asana.
Thanks,
Larry
I need the ability to assign a unique ID to projects. There is currently no way to do this. Ideally, I could carryover the ID field when I convert the tasks (created via intake form) to projects, but there is no way to do that. I need an easy unique identifier to refer to projects.
Is this something that will be on the roadmap? As they launched Unique ID Tasks this is really something that I need for projects and would help the enterprise sized orgs (especially in their marketing/media departments!)
Asana doesn’t publish a public roadmap, so we just have to wait and see - we won’t know until/if such an enhancement gets released.
Ideally we can add a prefix and then have it auto-number (similar to Task IDs)
Would be good to have multiple pre-fixes to select from but then auto-number from there.
Hi @Andrew_Preston1 and welcome!
FYI I moved your post to an existing thread on this topic, so as to keep all similar feedback in one place.
I was wondering if there’s a way in Asana, without using a third-party application, to create a sequential number. For example, I want people to fill out an internal project request form, and the new project should follow the existing project numbering (e.g., the next one would be 900026). Is there a way to do this directly in Asana?
Hi @Emilie_Caron1,
FYI I’ve moved your post to an existing topic on this subject. You can add your vote at the top of the thread!
I’ve used a custom field called ‘Job Number’ and an AI rule to generate job numbers. I’m doing this within a project, so each task gets a job number, but you could also do it within a portfolio to number the projects.
My rule is When a task is added to this project > Set [Job number] to [‘Use AI’]
My prompt looks like this:
You are responsible for assigning a unique job number to each new task in the [project name] project. When a new task is added, you need to:
1. Check the task has been given a name. If the name is blank, do not give it a job number.
2. Look at the ‘Job number’ field for all existing tasks in the project and find the highest number.
4. Assign the new task ‘Job number’ field a number that is +1 higher than the current highest number in the project.
For example, if the highest job number in the project is currently 1045, you should assign 1046 to the new task.
Make sure to only use numeric values (no letters or special characters) in the job number field. The job number should be a whole number with no decimal places.
Downside is it takes a little while to run, and for some reason it occasionally reuses a job number, so I have to check the output.
I think this will be helpful.
Hi @Sarah_Rubie , thanks for sharing this! I didn’t know I could use this on a portfolio level, that’s very helpful.
