Private Projects - Email Reports

How can I send reports via email to staff with interest in statuses based on charts from reporting for a project set to private?

Welcome back to the forum.

If I understood you correctly, if these colleagues are on asana, you can simply tag them or share the status report with them. They will be notified and can view them.

If they are not on asana, you can download the report itself, or the dashboard graph as an image and share it in an email manually.

I tried the first option, and yes that are part of Asana, however, they are not part of the project, as the project is private. When they try to view the report, it doesn’t include the data from the project because the project is private. They have no need to be part of the project, but they do need to be informed on statuses based on generated reports.

For the second option, I have not seen any way to export out a report so that I could manually attach to an email. Also, with regard to images, I have tried taking screenshots, however, as the data is represented on more than one page, it would require you to take multiple screen shots and manually stitch them back together which is a viable option.

In this case, my suggestion would be
a) add them to the project and remove all project notifications that they only get status updates.

There is no reason for them to be part of this project, as it is a temp project that i move items into other projects for assignment. However, I need the stats from this temp project included in the report that gets generated for users. How can I do this without adding users to projects that they don’t need to be a part of and how can I include the entire report not just portions of the visible screen? A simple save to pdf would be amazing if we can’t automate the process, but that should be an option as well.

@Kelley_Hendrix - when you say you want them to see the “stats of the project”, do you mean things like “tasks completed”, “tasks overdue”, “tasks of xyz task type” … essentially things from the project dashboard?

If so, there ARE a couple workarounds I could walk you through. Please reply and let me know if the above is what you are trying to do and I’ll outline the workarounds.

Here is an example of the output I need to send:

@Kelley_Hendrix - one of the most straightforward workarounds is to build a dashboard with all these same charts, filtered by whatever project(s) you need included, in the “Reporting” feature under insights on the left menu. You can build it based on YOUR permissions and visibility and then share it with others. They won’t see the project(s) (if the project is private) but they’ll see the chart data. Essentially, this workaround allows them to “borrow” your visibility for the report charts, but not see the itemized task lists or the project.

Currently, you are only able to share dashboards in this way from the global reporting feature on the left menu, and not from the project dashboards.
