Outboard Marine Parts Ordering

I’m looking to implement a standard ordering process that requires specifc and repetitive requirements. Like for instance , I need engine model, engine brand, serial number and a part number. This is required for everything ordered. Please help

  • Create a project with these project-level custom fields: Engine brand (dropdown), Engine model (text), Serial number (text), and Part number (text). These fields will be available across all tasks in the project.

  • Build a form for the project and map those four custom fields. Make all fields required to ensure complete order information. You could also add an “Attachments” question if you want requesters to upload photos or PDF files.

  • Set up rules in your project, like the following:

    • When a form is submitted, automatically assign the task to the right team member, set a due date, and move it to “To review.”

    • If a manually created task is missing required text field information, automatically move it to “Needs info” and post a comment requesting the missing details. Use text field conditions to identify empty fields.

  • Create a task template with standard subtasks: “Verify serial,” “Confirm availability,” “Place order,” and “Log PO” to keep your team’s process consistent and organized.
