Need help creating a master template across multiple vendors/vendor contacts

I’m looking to see if there’s a way to simplify my project template.

I am currently using one template with Asana’s “project rules” set to various tasks, but this still requires me to remember which assignee to set for those tasks.

I want to simplify this a bit. Here’s the details. One master project template to be used across multiple Vendors. Each vendor has the same assignee roles, but different people assigned to those roles depending on which vendor they work for.

What I’m aiming to accomplish is upon project creation, select a vendor, and all of the vendor tasks will be auto assigned based on that vendor, and which role they play there.

As an example, If Vendor:Google is selected, then for every task that the “supplier rep” is responsible for, auto-assign it to Al@Google.com, Factory contact tasks to Amy@Google.com and Shipping contacts to Allie@Google.com. If a different vendor is selected, then assign the appropriate person.

Any thoughts?

I’ve understood what you want but unfortunately, it’s not currently possible upon creation. The closest thing currently are Project roles. Have you tried using them in your template?

This will allow you to (manually) assign members to roles (that are pre-built into your template), upon project creation.

You can accomplish this, but in a different manner than the vendor table you included (which makes sense but is different than how to implement it in Asana).

In your project template:

  • Add a single-select Vendor custom field with values for each vendor but leave this field unset for every task
  • Add a single-select Role custom field with values for your three roles; set this field for each task in your template
  • Add a rule:
    • When Vendor is changed
    • Check if Vendor is set to Google AND Role is set to Representative
    • Do this Set assignee to AI@Google.com

You’ll need to build that out for the other two Google Roles, and then add each Vendor’s three roles.

Of course, if you have a ton of Vendors/Roles, maybe this will be to much to maintain.

@Richard_Sather, I don’t think Roles does enough of what @David_Borgelt is asking for, so I’m suggesting the above. If you agree, feel free to mark this as the solution.
