Milestone View

Hello everyone. What is the best way to create a milestone view of all projects? Please note, we organize our work as follows:

  • All client work housed within a Client portfolio
  • Any retainer work is a portfolio within the Client portfolio, with the individual retainer projects within that
  • All non-retainer scopes/projects for that client are projects within the Client portfolio

We’ve created an All Projects Portfolio in which all of our client’s portfolios get placed into so we have an organizational workload view. Just wondering if we can use that same portfolio to somehow view milestones as well? Many thanks in advance for your help.

Hi Ruth,

As far as I’m aware you can only view details of projects within a portfolio, you cannot view project details from a portfolio of projects that are inside a portfolio. So what you’re asking isn’t possible. But below are a couple of suggestions to work around the issue you have.

You could add in all the projects into the main portfolio to see all milestones. You could add a custom field to the portfolio to highlight where that project comes from (client portfolio, retainer etc.) and then group by that field to split it out for easier viewing.

Or you could create a new portfolio for ‘All projects’ or similar. And inside that add every project that you have across the 3 separate portfolios. And again could use a custom field to split the view up like above.

What do you mean by “milestone view?” Can you sketch out what you’re looking for, because that could mean many things.

Are you aware that all portfolios have a Milestones progress column available:

You can show it with Options > Show/hide columns.

Hey, thanks so much for reaching out!

I’d love to be able to pull something to run standups with that calls out any milestones over a given period of time, (typically two weeks). In my mind you’d see all the projects down the left side, date range across the top, and milestones plugged in on there assigned dates/projects. I’d love to do this for all of our projects - but because we have portfolios inside of portfolios, it doesn’t sound like it’s possible?

Thanks. Yes, use your All Projects Portfolio to create new tab(s) in Timeline view and use the Filter, Sort, and Group features in these tabs to set it up as you’d like, similar to one of the options @Mark_P mentioned.

You’ll see all projects’ milestones and can tailor your view to filter to next two weeks or group or sort by due or start date.
