As Asana consultants and getting very often in project managers shoes, we’re always looking for ways to work smarter, not harder. I’ve discovered that AI tools like ChatGPT and Claude can be incredibly helpful in creating the initial framework for Asana projects. Here’s my workflow that’s saving hours of setup time:
The Process
1. Start with a Clear Prompt
- I describe my project goals, timeline, and key deliverables to the AI
- Ask it to break down the project into main sections and subtasks
- Request specific fields like assignees, dependencies, and time estimates. (Don’t forget to add that dates should have a yyyy-mm-dd format!)
2. Example Prompt I Use:
“I need to plan a website redesign project in Asana. The project should include sections for discovery, design, development, testing, and launch. Please create a task list with subtasks (if there are any checklists to be considered), add dependencies and typical timeframes.”
3. Refining the Output
- Use the AI to add more detail to specific sections
- Ask for recommendations on custom fields
- Generate task descriptions and acceptance criteria
Benefits I’ve Found
- Time Savings: What used to take 1-2 hours now takes 15-20 minutes
- Comprehensive Coverage: AI often suggests tasks you might have forgotten
- Consistency: Templates generated are more standardized
- Better Starting Point: Easier to edit than to create from scratch
Pro Tips
- Be Specific: The more detail you provide, the better the output (e.g: industry of the customer, size of the team, email addresses of the potential assignees…
- Iterate: Use follow-up questions to refine and expand sections
- Customize: Have the AI adapt the structure to your customer’s methodology
- Review & Adjust: Always review for your specific context and team needs
Limitations to Watch For
- AI might suggest generic timeframes that need adjustment
- Some suggestions might not align with your company or your customer’s processes
Your Turn!
- Have you tried using AI to set up Asana projects?
- What prompts have worked well for you?
- Any clever ways you’re combining AI and Asana?
Looking forward to hearing your experiences and tips in the comments!
