🔗 Introducing Reference custom fields!

Hi Emily! I have a question about this new field: when searching for a task, how do you identify the specific one you’re looking for? For example, in the screenshot you shared, there is a ‘New request’ task, but since you can have multiple tasks with the same name, how do you differentiate between them? I tried adding the month of the due date next to the name, but no results were found.

Hi @Moises_Trejo , this is a similar issue when trying to link dependencies.

A workaround is to copy the link of the task (either copy the URL in the browser address bar, or click on the link icon :link: in the top right of the task’s details pane. Then, paste the link in the reference field to show the correct task.

In the future, we are hoping that Asana introduces filters so that we can narrow down the ‘pool’ of a Reference field to specific projects, so it only lists the tasks with that project, for example.

The remmaining thing is, even if Asana introduce filters, what about tasks named the same in the same project, how could we differenttiate between them? I think due date in the result list could help, as the asignee picture does, or at least knowing which order criteria is applying the search list.

Will there be additional automation rule capabilities coming for reference fields? Right now the trigger/conditions are very basic.

Would be great if any/some of the conditions following were added:

  1. When reference (task) is marked complete
  2. If reference task due date is changed
  3. If reference task is overdue

Can we use a Reference field to look up a field value on a project? Example:

Project for Webinar has a “High” Eisenhower Matrix Score
Reference field in all tasks in project for Eisenhower Matrix Score on the project.
All tasks now show as “High” when tracked in a report or workload view.

@Emily_Roman - Hey! I noticed the post mentions future support for using Reference custom fields in forms.

Do you have a sense of whether this is already in progress or still further out on the roadmap? We’re trying to be thoughtful about where we use Reference fields, especially if we may need those same fields in forms and if form support could take a while to launch.

I’m looking for a way to filter/search for tasks based on a specific value in a reference field.

My use case: We have a separate project containing “Documentation Tasks,” where each task represents a piece of equipment. When something goes wrong with a machine, we create a new maintenance task and link it to the corresponding “Equipment Task” (the documentation).

I would like to be able to select or filter all maintenance tasks that refer to one specific piece of equipment.

Is there a specific search method that allows filtering by these references?
