Internal Tasks vs. Customer Facing Tasks via Read-Only Project Plan Link Solutioning

Hi there! I want to enable my Implementation Managers to only have to maintain one project plan out of Asana and sharing said project plan via the read-only public link funtionality.

With this approach, I have a few questions:

  1. Tasks vs. subtasks: I noticed that when I review a read-only project plan link, I cannot see any sub-tasks (which is great IMO). Is this expected/are sub-tasks not visible for those who view the project via this public read-only link? Is there a setting that needs to be enabled to accomplish this, or is this just standard behavior when using sub-tasks and read-only links?
  2. Filters: if the above is not possible/viewers of the read-only links can see sub-tasks, is there a way to create a read-only link on a filtered view of the project plan? For example, if I add a column titled “Customer Facing” and only want to show tasks marked as Yes in this column, is there a way for me to generate a read-only link for this view to share with customers?

I am trying to make this as easy as possible for IMs to use and appreciate any tips and tricks to accomplish this with one project plan vs. maintaining an internal and external plan. TYSM in advance!

@Rachel_Langlais,

Specific answers:

  1. Read-only view is very limited; no subtasks (unless those are homed back into the project to appear as top-level tasks as well), and no setting to change.
  2. Not directly, but that’s the start of an approach that I cover in detail here:

Effectively, you could use a single-select Customer Facing custom field with a single value of :check_mark: to trigger a rule to multihome such tasks to a paired external project of just those tasks. See my post above for details.

Thanks,

Larry

Thank you so much, @lpb ! Is there a way to bring other columns into the read-only view, or is this set at a standard level?

It’s very, very limited. No custom fields, not even task description. What you see is what you get!
