Incorporating forms into a workflow for individuals who are not Asana users.

Hello, I’ve developed a workflow to handle requests through Forms, allowing us to approve or reject them as needed. While the approvers all have Asana accounts, the requesters may not. I found this information: “Can you send Asana forms to non-Asana users? Yes. You have the option to make your form private to your organization or accessible to anyone on the web. This means you can gather feedback or requests from individuals outside your company, such as customers, external partners, and more.”

I am curious whether colleagues who are not Asana users can submit a Form and still receive a notification from Asana when their request is approved or rejected. Although I can set the form to ‘Anyone can access’ in the settings, I am unable to enable the option that ‘Allows task collaborators to email comments to submitters.’ This feature is only available if the form is set to ‘my organization can access and submit the form.’

Can someone help me clarify is this option is available in Asana? Thank you!

Welcome to the forum @Liliana_Linares!

You could notify them by using the request tracking feature that has just been launched. Introducing Request Tracking!, but this currently only works for comments and actively selecting to email.

Another option might be to use an external action and send to send an email upon changing of the approval status change.
