📣 HubSpot workflows can now do more in Asana with rules and AI Studio

We’ve just launched an update with huge improvements to HubSpot workflows in Asana!

Before this update, HubSpot could send work into Asana, but a lot of the useful context stayed behind. Now, Rules and AI Studio can do a much better job of carrying the story over. This expands your functionality with support for more CRM objects, more precise conditions, richer field mapping, synced updates, and AI Studio workflows.

Availability: fully launched for Starter, Advanced, Enterprise, and Enterprise+ plans with access to Rules integrations and AI Studio.

  1. Trigger workflows when HubSpot records are created or updated.
  2. Build workflows from more HubSpot CRM objects, including deals, tickets, leads, contacts, companies, products, and line items.
  3. Add conditions so workflows run only when a change matches what you care about, such as a specific stage or status.
  4. Map HubSpot properties into Asana task fields in a more structured way, including fields like dates, numbers, and text.
  5. Keep mapped task fields updated when the source HubSpot data changes.
  6. Use HubSpot-triggered workflows with AI Studio to summarize incoming context and help teams triage what should happen next.

This makes the handoff between HubSpot and Asana much more usable. Instead of recreating the context manually, teams can build workflows that move the signal over with more structure from the start.

A few examples of what this unlocks:

  • Route high-priority HubSpot tickets into the right project in Asana
  • Create handoff tasks automatically when a deal or ticket reaches the right stage
  • Use AI Studio to summarize the context behind incoming HubSpot work before it lands with the next team

These improvements are part of our broader work to make it easier for customer-facing teams and cross-functional partners to stay in sync across tools.

I love this! Thank you.

I created a rule with the trigger being if a record is created or updated, for when a specific property is changed to Yes, then it should create a task in a specific project and section, using the company name in the task name.

I am wondering how long I should wait until I see the task is Asana?

I updated a record in Hubspot 3 hours ago for it to meet my trigger and I don’t see any task in Asana. Is it supposed to be instantaneous or does Asana retrieves Hubspot changes once a day?

It tells me “Rule hasn’t run yet”. What would make it run: a change in Hubspot, a daily sync with Hubspot? Or do I need to have AI Studio for this to work?
