Has there been any progress on being able to remove the Asana task link from Outlook emails?

I see a post with a similar question, but it’s two years old, so I thought I’d ask again.

We would like to use the Outlook integration to use a rule to send an email via Outlook. The recipients would all be outside our organization.

Is there any way to prevent the Asana task from being included in the email?

I don’t see a reason for it to be included in any email, and if a user did want the task link to be included, they could add it as a custom field.

With the link being included by default with no way to turn it off, the Outlook email integration is almost useless.

Then on the previous topic, someone replied “if you dont want the link to be included then you can use Zapier or Make.”

Could someone expound on that?

Though, again, I would not expect to have to pay for an additional service to be able to make use of the Outlook integration feature. I’m really hoping that something has been updated recently to allow us to remove those links.

Hmm, yeah, that’s strange. I don’t see it here either. Maybe it was deleted?

I have the copy of the response from the email notification. I don’t see anything controversial in it.

Hey, hit this same thing a while back. Confirming what you’re seeing, the task link gets included by default in every email sent through Asana’s Outlook integration (same with Gmail and the generic send email action). No toggle to turn it off. The “Sent via Asana” feedback thread has been open for years and there’s still no fix.

The Zapier/Make workaround basically means skipping Asana’s built-in Outlook rule and routing the email through Zapier or Make instead. Roughly:

  1. Set up your rule in Asana with your trigger (task moves to the section, custom field changes, etc)
  2. For the action, pick Send to Zapier (or Make webhook)
  3. In Zapier/Make, add a step for Outlook then send Email
  4. Write email body yourself, you can still pull in Asana Details like task name, custom fields, assignee, due date, but just leave the task URL out.

That way the email goes out from your Outlook like a normal email, without any Asana Link, no footer, nothing.

Totally get the frustration on paying for another tool just to fix this. If it’s only a few emails a month, Zapier’s free tier might cover it. For anything higher volume you’d probably need Zapier’s $20/month plan for multi-step Zaps, or Make which runs a bit cheaper.
