Former team member's tasks showing up in old team

We have a former team member that we have removed from our Asana team but he has taken a job within our larger organization (a university) and is now also back in Asana as a member of a separate team. However, whenever he adds a task, it also shows up for his old team! We’ve double-checked that he has been removed as a member of that team, so we can’t figure out why this is happening. We also don’t want to “deprovision” him because he still works in the larger organization. Unless we have to deprovision him and let his new team add him back?

Hi @Susan_Hudson , sorry to hear about this issue.

However, tasks belong to projects, not Teams so it’s not clear where you are seeing this person’s tasks. Or do you mean you are perhaps seeing their projects appearing in more than one team? or their tasks are appearing in more than one project rather than a team?

Some screenshots would definitely help clarify so that we can help you. Please avoid sharing any personal/sensitive information since this is a public forum.

Here’s the screenshot I was sent. It was in a calendar view for his old team. His are the first three tasks that show up for Feb. 18.

Meanwhile, we’ve tried to go back and deprovision him from our group, but he’s no longer showing up as a member, even when the admin filters to Removed. So I’m not sure we have the deprovision option anymore.

An update: We were able to deprovision the former employee and now he has been added back by his new team. Yet his tasks keep showing up in his former team’s space. Here’s another screen shot (he’s TH):

Hi @Susan_Hudson thanks for the clarifications.

Even if you remove a member from a team or a project or even deprovison them from the entire Asana space, their tasks will still exist - that is expected.

However, they still seemed to be assigned on some tasks in your screenshot. Best to check the Admin Console (if you are an Asana Admin of your space, it should show up when you click on your profile photo) then click on Members to see if this person has been fully deprovisoned.

When you properly deprovison a person, you will be asked if you want Asana to create a project with that person’s tasks. This is useful so you can easily select them all and reassign them to someone else.

Thanks so much for your help on this! We’ve done all that you suggested. One more workaround that may have solved the problem is that his new team has added him with his true email address (lastnamefirstinitial@ad.unc.edu) instead of the alias email address (firstname_lastname@unc.edu) that he was using when he was with us. So far, his tasks are no longer showing up in his former team’s space. :crossed_fingers:
