My question: Is there any way to sync with, or export to, MS Planner/Outlook Tasks from Asana?
Background: I am part of a pilot group testing asana on behalf of our company. If we decide to adopt asana fully, we would only have a select group of staff using asana while the majority of our staff would still be using MS 365 resources such as Teams, Outlook, Tasks & Planner. With this in mind, our pilot group is also evaluating the MS-Asana integrations and functionality. In doing so, I haven’t found anything regarding integration with MS Planner or MS To Do/Tasks.
Application: I have an ongoing quality improvement project built in asana; this is great for me and the pilot group, but many of my project collaborators will not require asana for their primary job functions, so they will not get Asana licenses even after the pilot phase is over. Because our company has used MS 365 for nearly everything until now, most of our staff is comfortable using MS planner/ Outlook Tasks.
I am aware that I can share read only links to my project, which is nice, but this doesn’t allow for non asana employees to mark tasks as complete or indicate they finished their work. I have tried exporting the project to excel and adding check boxes so people could mark tasks as complete, but this still requires me manually updating task status on asana and people have a difficult time following/understanding the excel due to all the complex custom fields (its overwhelming to look at TBH).
Ideally, there would be a way to export individual task(s) to MS planner or outlook ToDo Tasks, where it could then sync to asana and update the completion status automatically. I would chuffed if it could even just create a MS planner task with the same task title and in the description is just a read-only link to the asana task; as long as it syncs the completion status.
If this is not currently possible, does anyone have suggestions for a work around that could achieve an end result where an asana task can appear (in some form) on a MS Planner or Outlook Task bar for a non asana user within our company.
I’m not at all experienced with flow, but I did wonder about if there is potential for something like: When asana task created, if SS custom field is set to “JaneDoe”, send task to “Improvement Plan” MS Planner and assign to “JaneDo@company.org” … but I don’t know if its possible to have it sync the completion status, and I would assume you would need to do that for each person individually which is not ideal… (again, I’m not very familiar with flow , but a girl can dream ).
