“Eeny, meeny, miny, moe…” …someone gets the work. Don’t know where it’ll go.

Hi Community,

Happy Collaborative Work Management Certification Week! :graduation_cap:

To celebrate, we wanted to share a little story we think every leader and teammate will recognize: the moments when assigning work feels less like strategy and more like a lottery.

We’ve all been there. A new request lands. It’s “urgent.” It’s “not that big.” It was needed yesterday.

You glance at the team list and start the mental lottery: Who has room? Who finished something recently? Who hasn’t complained in the last 24 hours?

Eeny, meeny, miny, moe…

When you’re managing a team without visibility, assigning work feels less like leadership and more like a Hunger Games selection. It’s random. It’s unfair. One person gets picked as “the tribute,” and everyone else just hopes they aren’t next.

:fork_and_knife_with_plate: The Mystery of the Full Plate

On the surface, things look busy. But under the hood, the engine is smoking. Calendars are packed. Focus time exists only in theory. People are working hard… really hard… but the work itself feels fuzzy, duplicated, and oddly heavy.

Things start to slip, not because anyone dropped the ball, but because no one could see how many balls were already in the air. Team meetings become that specific kind of awkward where the leader has no idea what’s happening behind the cameras, but no words are needed. Silence, eyes twitching, and awkward smiles say it all: the team is overwhelmed and confused. There’s no clarity.

:eyes: The Great Perception Gap

As a leader, you want to believe the team is always operating like the Shiny Happy People music video: everything’s synchronized-ish, the mood is high, and the energy is pure 90s optimism.

But when you lack a bird’s-eye view of the work, that optimism can mask a Hunger Games reality. Without data, it’s hard to tell the difference between a team that is “crushing it” and a team that is just being incredibly quiet about how close they are to the edge. Every “urgent” request shouldn’t feel like a tribute selection; it should feel like a strategic move.

:building_construction: Designing for the Long Game

Scaling a team shouldn’t mean scaling the stress. Most leaders rely on their “heavy hitters” because they are reliable, but without a clear view of the total workload, you risk creating a single point of failure.

A scalable system is about sustainability. It’s the shift from guessing who can handle a new task to actually seeing who has the breathing room to do it well. When you remove the guesswork, you don’t just prevent burnout, you clear the bottlenecks that keep the whole team from moving faster.

:graduation_cap: Master the System with the Resource Management Skill Badge :graduation_cap:

To move past the “mental lottery,” you need a framework that reflects reality. The Resource Management Skill Badge is a tactical deep dive for leaders who want to build a more predictable, balanced environment.

In a couple hours of total learning time, you’ll master the mechanics of a balanced team:

  • :pushpin: Define the Fundamentals: Learn how to align work to resources so you can make smarter staffing decisions.
  • :bar_chart: Capacity Planning: Forecast workstreams over weeks and months to prevent bottlenecks before they happen.
  • :stopwatch: Time Tracking: Compare estimated vs. actual effort to sharpen your forecasting and see how long work really takes.
  • :balance_scale: Workload Balancing: Use visual tools to see capacity across all projects and rebalance tasks in seconds to keep the load even.

:white_check_mark: The Bottom Line

We’re not promising your team will be dancing and clapping around the office, with bright outfits, synchronized and holding hands (I love the videoclip, but that would be awkward in real live). :grinning_face_with_smiling_eyes:

What the Resource Management Skill Badge does promise is a set of practical tools to work better together, reduce stress, and make smarter decisions about who does what and when. It’s about turning the “mental lottery” of assigning work into a system that’s fair, clear, and actually manageable.

Plus, you’ll walk away with a digital badge for your profile! A recognized credential you can showcase on LinkedIn, in your email signature, or anywhere else you want to highlight your skills. It’s a small but meaningful way to signal your expertise and your commitment to better ways of working.

Completely resonate with this, trying to distribute work without a shared understanding of everyone’s commitments often ends up feeling random and unfair rather than strategic. Strategy wins every time!

Really wish I could share the skill badge with some of my former organizations! Whenever it was my turn for the Urgent Work Games, I always felt bad if I tried to stick to my capacity and boundaries, so I would say yes and then deal with the repercussions afterwards. I just registered for the skill badge - looking forward to implementing the practices into my own work!

I really resonated with this: “to cooperate better, reduce stress, and make wiser decisions about who does what and when.” Thank you!

Love this! I was wondering about this badge and your post was that final touch to finally get to it. Thanks for making it a fun read but also a touch of reality we need to be honest about and work on with intention.

Aw, I’m so glad to hear that, @Danilea_Carmona! I love that it gave you that final nudge to go for the badge  And honestly, real talk is so needed. Work and life aren’t always neat or perfect, so having space to be honest about that, while still learning and having a bit of fun, really matters. :heart_hands:
