The Custom Field Library search does not seem to consistently return all custom fields that match a search term.
This makes it difficult to find existing fields and increases the risk of duplicate custom fields being created because users may assume a field does not already exist.
We have a large enterprise Asana instance with a significant number of shared custom fields. Consistent discovery and reuse of custom fields is important for governance, reporting, and standardisation across teams. When I search a field called ‘Type’ which I’ve confirmed is added to the field library, it does not come up in the field library
As you can see, this field does not come up when I want to add it to another portfolio.
Hi @Diana_Armacanqui, welcome to the community, and sorry you’re running into this.
I know hunting down the right field in a big library can be frustrating, especially when you’re trying to keep governance tight.
Here are a few quick checks I use when a field doesn’t show up in search:
-
Confirm it’s in the library — not just tied to one project. From where it exists, open the field menu → Edit field → check who it’s shared with.
-
Try a longer search — type the full name or a unique part of it.
-
Scroll instead of search — sometimes sorting by name is more reliable.
-
Reuse from a known project — open a project/portfolio where it already exists and add it from the “recently used” list.
-
Basic troubleshooting — hard refresh, different browser, or incognito.
If none of that works, best next step: contact Asana Support with the exact field name, where it lives, the portfolio/project URL, and a short screen recording: Support link.
