Hello. I created a form in Jotform to manage our employee business card requests. I used a conditional branch to trigger approvals based on the Department that the employee selects in the form.
When the form is approved, we’d like a project to be created in Asana. When the form is denied, we’d ONLY like a denial email to be sent, no project needed in Asana.
Right now, a project is being created in Asana no matter the outcome: approved or not.
Does anyone know a solution to get Asana to only build the project if the Jotform submission is approved?
Additionally, we cannot get Asana to notify us that the project was created. We have to go searching for it.

For me to help, I would need to see the workflow you created if you can share a screen shot.
I am interested though in finding out why you used jotform for such a process when I believe asana forms are very much capable for such a simple workflow.

Hi Rashad,
Here is a screenshot of one of the branches (if you follow the New Iberia Approval branch upwards, that is where I am getting an Asana project triggered from both outcomes).
Unfortunately, most of our team is not using Asana, so Jotform was our solution to accommodate approvals from managers not using the platform. If you know of a work-around that allows us to keep the form in Asana, I’d be happy to hear!

Thank you for sharing the screen shot. I had not realised your workflow is entiely outside asana.
From looking the workflow, and if I understood correctly, I think the problem relies in jotform as it is not recognising the trigger of the approval. It looks like it is treating the ‘approval’ step as the trigger to send to asana.
I would suggest contacting them for this.
As for using Forms in Asana, The form can be open for anyone, even those not using asana, but the approval will be the issue for you, as you already know. So for this instance, I do not think there is workaround as approvers have to be asana licesned.
