We’ve been using Asana for a few years now and are really happy with it. However, we’ve run into a challenge. Each marketing domain has its own project, aligned with previously agreed deadlines. The problem is that deadlines sometimes change, and these changes aren’t always communicated properly to other domains.
To prevent this, I’d like to create a large, overarching marketing project in Asana that includes the deadlines from all projects. Since this involves quite a lot of tasks, I want it to be well organized. Team members would still work in their own projects, but the overarching project would serve as a way to see what’s happening across marketing domains and to know if you need to move your own deadlines earlier or later.
Does anyone have experience with this? I’m mainly looking for a template to make this work. If a template exists for this use case, it would be a huge help.
Multi-homing: Create your overarching Marketing project and multi-home all tasks to this project. You can either have all tasks come into this project, then based on a custom field, multi-home to the individual teams’ project. Or have a rule that multi-homes all tasks from the individual projects to the main project.
One concern here is the number of tasks you may have and that this may get a bit cluttered.
Dependencies: You can also use dependencies between tasks on different projects. This way when one date changes, the dependent tasks can also be updated.
Milestones: If your structure is that there are several tasks that need to be completed prior to handoff to the next team, you can use milestones and multi-home these to the main Marketing project. The milestones would be setup with dependencies and be blocked by the preceding tasks. This way, if the tasks moved the milestones would also move. This may cut down on the clutter in the main Marketing project a bit.
