So I use Asana to manage content approvals for my external clients, and the way I do it is a custom field called “Status” that lets my clients know where in the creation pipeline any given piece of content is.
Currently I have a custom rule that sends an email notification to my clients when a piece of content is ready to review. What I would like to have happen is to create a rule that when my client either sets the status as Approved or Needs Edits I get notified that the status of a task has changed so I know what the next steps are for that content.
I am happy to create this rule individually across every project I have so I don’t need it on a portfolio level, I just need to to happen when the status in a task changes.
In this case you could set a rule that says When Status is changed> Check if Status is Approved> Add comment " [@your name, or whichever person you prefer], the client has approved this content." Otherwise if> Status is Needs Edits> Add comment " [@your name, or whichever person you prefer], the client has requested edits to this content."
Hi @ZackReiser , to add to @Jeremy_Long 's great solution, you could also edit your (Status) field and check the second checkbox which will notify collaborators (of the task) when the field’s value/option is changed, without the need of any rules. The notification arrives in their Asana Inbox, not in the task’s comments.
The only thing is to make sure that you are a collaborator on the task. By default, the assignee and the task creator are automatically added as collaborators. However with @Jeremy_Long 's rule, you rest assured that you will get the comment regardless of whether you are a collaborator or not. But note that all other collaborators will also get notified of the comment posted by the rule, too.
Perhaps a ‘quieter’ rule would be to simply add yourself as a collaborator to all tasks. BUT when your status field changes, note that all collaborators will also get notified - that could be useful for all OR incredibly noisy!
Just mentioning all this so you know your options - choose wisely based on your workflow needs.
