can asana send an email or a slack when a task is added via the form

So I’m using the form thingy for customers to add tasks which has been received really well

It’s automatically assigned to me whihc is fine but I could really do with an alert via slack or email ottherwsie it will sit unactioned

Is anyine doing this ?

PS - My regular aAsana alerts are no good - there’s too much noise so I have them dumped in a separate in box

Yes, @Steve_Jones3, If you’re on Asana Business or Enterprise, in your project click Customize > Rules to add a rule:

  • Trigger: Task is added to this project > Form submission > Form name
  • Action: External Actions > See Slack and Gmail rules

Those rule actions allow variables to be used in them too, just like the add comment rule action.

Maybe I’m doing something wrong, or don’t know how to call the variables?

For example, my rule is: When form is submitted, send slack message, but I want the message to include text from a field the user inputs when submitting the form. Is there a shorthand way to call fields? Or how can I do this?

Sorry, each rule action is different. If you click in the Message field and there’s no “+” than that means that particular rule doesn’t support variables.

Hello - Finding this post has been a great help, but I am afraid my rule isn’t working. What am I doing wrong?

I have a project board, where a new task is added via a form submission. When this happens, I would like an email triggered to another team outside of Asana via Outlook, so they can utilise the information in the form as well (they don’t have access to Asana).

I have set up the rule for “Task aded to project by form → Send email via Outlook”

However I have filled out the form as a test, have seen a task added to the project, and yet I have not been able to trigger an email. When I look at the rule, it does say that it was last triggered 35 min ago?

What am I doing wrong?

Welcome to the forum, @Kaitlyn_Burke! To troubleshoot rules, I’ve found it’s best to test each part of the rule (e.g., each trigger, condition, action) separately. In this case, if you remove the email action and try a different action, does it work (testing the trigger)? If so, try changing the trigger to something easy (e.g., task is assigned); does that work?

Since the rule shows as having run, is it possible there are any errors in your outlook action? Could you post screenshots of how you configured the action (hide any private data)?

Thank you! Testing each part of the rule has helped and shown me that the trigger is working, but the email is not sending (I added an extra step to auto-assign and that worked, but still no email).

I have set up the rule as follows:


It is being sent from my email, sent to the other teams email, and reply to my email. Not sure what could possibly be broken? Unless the outlook is blocking the automation from running for some reason?
