Can a Basic user within my organization see my Premium project?

I work for a very large organization, and our department of 50 people purchased a premium account. However, we still work with other departments who don’t have the premium version. If we add a Basic user to a project, would they be able to collaborate in the project and just not see the premium features like custom fields? Or would they not be able to view/edit our project at all?

Hi @Soula_Servello, welcome to the Asana Community Forum!

If you have a Premium Team, only members of your Premium team will be able to access paid feature and the projects inside of your team. If you need to collaborate with more members that only have access to the basic version of Asana, you’d need to invite them to your Premium Team and they will count towards one seat in your plan.

If the new user have an email address connected to your Organization, they will be added as members and they will have access to all public projects after you invite them to your Premium Team. Please find more details in this article.

I hope this helps! Let me know if you have any other questions

Emily do they see the custom fields and can’t interact or they don’t see them at all?

Hey @Bastien_Siebman! Great question! For them to see fields, they would need to be invited to the project. By doing so, they will be automatically added to the paid plan and they will be able to see paid features including custom fields. If they are not invited to the paid team, or project inside of this team, they won’t be able to see paid features.

Is that correct to say that a guest, however, would see the fields without being invited? (if the fields are in the org library)

Sorry for the delay here @Bastien_Siebman! Let me test this and I’ll confirm asap!

Hi @Bastien_Siebman, so I investigated this further and actually Guest cannot add custom fields to the project even if the fields are part of the Organization’s library.

Organization Guests have access to all paid features in an Organization or team they’re invited to. However they are unable to create, edit or delete Custom Fields or search for them using the Advanced Search tool. They will only be able to input or edit the values of existing Custom Fields on tasks.

There was a misunderstanding. I was talking about seeing the fields, not create new ones.

@Bastien_Siebman, yes, Guests can see the fields. By definition a Guest is a member of the project which gives them visibility to the paid features. Collaborators that aren’t members or guests, will not be able to see the fields. Instead they see an upgrade button that indicates they don’t have access to all the data.

Oh sorry, @Bastien_Siebman! Jerod is right! Guests can see custom fields that were already added to the project

Hi @Emily_Roman, I’m still a bit confused with this. So the basic users cannot see the tasks and projects in the Premium team at all, or they can still the the project name, task name and still be able to comment on them?

Hello @Hoang_Nguyen, if guest users are added to the project they will be able to see everything.
If you only add them to a task they will only be able to see that task.
Guest users will also be able to make changes unless they are added with “comment only”.
